Lesson 1 The Layout of Business Letters一、书信的组成部分1.必备部分(1)信头书信中发信人的地址和发信的日期等称为信头。
是公司形象的一部分。
但是内容也是标准化的。
包括公司名称、地址、电话号码、传真、电子邮件和网址等,有的还包括注册商标和公司标志(logo),工商注册号和注册资本。
英文地址按照由小往大的顺序写。
信头的用途就是使收信人在第一时间看到信发自何处,复信时也便于参考。
有些国家的信头中还包括其他一些细节,如在英国,信头中就印着公司总经理的姓名。
信头的位置:一般缩行式的信头位于中上方,平头式和混合式的信头位于左上方。

日期不用简略格式,特别是不用容易产生歧义的格式。
具体要求如下:a.年份应完全写出,不能用05代替2005年b.月份要写英文名称,不能用数字代替。
因为英国人遵循日、月、年的顺序而美国人遵循月、日、年的顺序,所以10/2/2004,既可能被理解为2004年10月2日,也可能被理解为2004年2月10日。
c.月份名称可以缩写,太短的词就不要用缩写了。
但是一般情况下,写完整的词比较好。
d.日期可以用数字,也可以用序号来表示。
月份和日期之间不用逗号,年份之前用逗号隔开。
例如:June 5, 2005日期的位置通常在信头之下,而中文书信的日期一般是在信的末尾签名之后。
在书写日期时,注意最好不要用序数词,月份不用缩写。
(3)封内地址(The Inside Address)收信人的公司名、地址等一般是列在信笺的左上方,在日期向下2-4行的位置,左对齐,无缩进。
书写封内地址主要有以下几个用途:1.发信时可以与信封的地址相互对照,避免放入信封时发生错误。
2.发信后根据封内地址可以准确归档,便于以后查找。
中文信函一般没有封内地址,这是与英文信函的区别封内地址和姓名的顺序如下:Name of the person addressed (收信人姓名)Title of the person addressed (收信人头衔)Name of the organization (单位名称)Street number and name (门牌号码、街道名称)City, state and postal code (城市、州、邮编)Country of destination (所达国名称)如:Dr. Jim GreenMedical research department(药品开发部)3134 North Cicero(西塞罗)ClinicsChicago, IL60606例如:32 Duke Street;(4)称呼a.称呼写在信内地址下面空一或两行处。
如果知道收信人的名字,最好称呼他们的头衔或姓,男性称Mr., 如dear Mr. Smith。
女性称Dear Ms. 已婚女士称Mrs, 未婚称Miss.b.如果知道收信公司的具体经办人,称呼最好写具体的人,而不用冷冰冰的Dear sirs,甚至只用名字不用姓氏,就好像是好朋友之间的私人通信。
c.对两个人或两个以上的人称呼时使用Dear Sirs, Dear Madams, Gentlemen (仅用复数而不用单数)。
对一般机关团体负责人用Dear Sir, 对政府高级官员用Sir.称呼后面的标点,一般使用逗号、分号或冒号,也有不用标点的。
(5)信的正文这是信的主要部分,表达发信人的意见,注意几点:1)简明扼要,合乎语法,重点突出2)分段正确,每段都有一个主题3)打印无误,布局艺术,力求让读者对书信形式有耳目一新的感觉。
内容部分打印在称谓或主题下面。
段落间使用单倍行距,对于特别简短的信,也可采取双倍行距。
信的正文包含三个部分1.开头语开头语没有固定的写法,可以简单的说明写信的原因,或是要求,也可以提一下上封信相关的合同或文件,或使用生动的开头引起读者的举趣。
开头语一般自成一段,而许多商务信函不用开头语。
开头语在写作时要注意简单、明了。
只要最简单的开一个头引出下文即可。
例1:我写信要求贵方帮助我们解决公司现在面临的一个非常重要的问题。
例2:很遗憾我们209号自行车没有令您满意,我们尽可能做到让您满意。
2.正文在写作正文时,如果正文需要两页或者更多页信纸时,应在联页的上端注明收信人的名称、日期、页数,再继续写正文,这是为了避免发信时第一页和第二页以及后面几页误置。
除了第一页,其他页不用印有信头的信笺。
名称也可以尽量缩写,只要标注它是每封信的第几页就可以3.信的结尾信的结束语可以重复一下刚刚所说的事情,再强调一下重点,或发信人要做,或希望收信人做的事情,也可说些套话。
为此在正文结束之后要另起一段。
例如:希望尽快收到您的回音。
(6)结束语(the complimentary close)是内容结束后的客气话,类似中文信中的此致,敬礼。
写在结尾下隔一行,正中或略向右面写起。
只有第一个字母大写,后面加逗号。
(注意都是带-ly的副词,用Yours而不用Your。
)(7)签名为使对方了解签名人的姓名、职位,签名的下面要打字注明。
不能用图章签发信函。
如果是秘书代签,则秘书的名字及真正需要签名的名字同时都要表现出来。
2.可选部分(1)事由(the Subject Heading or Caption)写在称呼语下面两行,一般全部大写或加下划线,中对齐,但平头信则为左对齐。
其使用主要是使对方的收发人员可以迅速转交给经办人,不必等待阅读完信中全部内容才能确定。
这样可以节省时间,也有利于登记归档和查卷。
事由要简单扼要,说明商品名称、数量、信用证或合同号码等即可。
有时前面加上Re: 或Subject: 或Reference:,但现在也可省略。
(2)经办人(Attention Line)作用:便于快速分拣信件;表明希望某个具体的人或具体的部门来负责这件事情。
位置:经办人要大写或用下划线,在封内地址之后。
(3)附件(Enclosure)如果有附件,在左下角注明Encl. or Enc. 如果不只一封附件,应注明2Encls. Or 3Encl(4)抄送(Carbon Copy)函件抄送其他单位时,如果同时对方也知道已抄送其他单位,可在信件最后左下角注明C.C函件抄送其他单位时,如果同时不想让对方知道,不写CC to×××or CC×××,要在发往抄送单位的信函上注明BCC,表示Blind Carbon Copy(5)再启(Postscript)信写完后,如果还有补充说明,在信末加P.S.,然后本人签署简笔签名,即只签姓、名的首字母。
现在基本不用,因为可在文档中直接修改。
二、打信格式注意事项注意纸张的选择,选用一些质量较好的纸张;注意页边距;正文的部分要适中;尽量选用激光打印机进行打印;要用文字处理软件中的预览观看效果再打印出来。
打信格式有三种:1.缩行式:封内地址和其需要分行的地方的后一行,都比前一行缩进两格或三格;正文中每一段开始一行缩进若干格(大约4-6个字母)。
(indented style)2.平头式:需要分段的地方,即每段的开始一行都与前一行取齐,一律不缩行。
隔段之间用双倍行距。
(block style)3.混合式:封内地址和称呼用平头式(从左边空白边缘打起),其他部分采用缩行式,两种格式混合采用。
(Modified style)三、信封的写法一般都用平头式。
其排列顺序与汉语相反,先写姓名。
后写地址,地址由小到大。
收信人名称地址一般打在信封中间偏左。
发信人的地址(return address)在左上角,邮票应贴于封面的右上角。
信封上面可以附注下列各项:1.如一信须由特种邮路或邮船寄递,或说明信的类别,可在信封左下角注明下列各字样:(1)Via Air Mail,(Par Avion)航空(2)Via Air Mail Registered 航空挂号(3)Registered 挂号邮件(4)Express 快递邮件(5)Parcel Post包裹邮件(6)Printed Matter 印刷品(7)Sample Post 样品邮件(8)Samples of Merchandise货物样品(9)Sample(s)of No Commercial Value 无商业价值样品(即增品)2.如系私人信件或密件,要注明:(1)Private 私人信(2)Personal个人信(3)Confidential 机密信3.信封上还常出现以下各种格式或写法,也要注意:(1)可以在信封左下角直接注明:Attention Hardware Dept.请交五金部办。
(2)由公司转交私人的信,在写完收信人姓名后,在公司名称之前加c/o字样(Care of 由……转交),如:Mr.Charles WoodC/o Sinochem International Corporation表明在寄往Sinochem国际公司前提下,这封信请转交给Charles Wood先生。
(3)托人带信(一般是介绍信)不写地址,只在收信人名称之下,注明带信人姓名,写法如下Mr. Charles WoodKindness“Mr.J.W.Smith”或用Per Kindness ofBy Kindness ofThrough the Courtesy of四、电子邮件和传真在书写外贸函电的过程中,电子邮件和传真所遵循的原则和讲过的内容完全一致,通常有自己固定的模式,所以在写作和语言的角度来讲,电子邮件、传真与信函都是没有什么区别的。
