Her mentor, played by George Clooney, behaves as the magnanimous gent we all know him to be: he writes a glowing reference letter on her behalf, addressed simply "to whom it may concern."In the real world, getting a reference letter is far more difficult and often a source of much anxiety. Whom to ask, how to ask, what to say?But getting an outstanding reference letter is entirely within your control and easier than you think, even if you don't have a benevolent benefactor at your back. Here are three tips to ensure your mentor, former boss, or academic counselor writes you a rave review:1.Highlight their qualifications2.Provide a template3.Offer a "no questions asked" policyLet's look at each of these individually:Highlight their QualificationsWhen reaching out to ask for a letter of reference, explain up front and center why it is that you value that person's opinion and respect their professional expertise enough so that you chose them (of all people) to vouch for you in your next professional endeavor. Beyond mere flattery, show why you think that person is uniquely qualified to accurately assess and communicate your personal contribution to your future organization. Why did you enjoy working for them, and why do you value their opinion? Why do you look up to them? How do the qualities match your own, or speak to the authority you want your recommendation to convey?Provide a TemplateIt's almost impossible to get a good reference letter from someone if you don't provide the tools necessary for them to actually write a good letter. It's also terribly inconsiderate not to give ample guidance. The last thing anyone wants to do is spend hours or days thinking about and drafting a letter which you yourself could have composed far better and more readily in about half the time.Providing a template, therefore — an outline, bullet points, or even a fully-baked draft — of what you'd like the reference letter to say is the most effective (not to mention generous and thoughtful) approach to asking for a letter of reference. The goal isn't to put words into your former colleague's mouth or to co-opt her into vouching for you in an untrue or disingenuous manner; it's simply to do some of the work for her and provide all of the pertinent data points that you'd like included in the letter. Moreover, as boastful, bragging or full of yourself you may feel writing your own referral, often people will be even more generous than you will when talking about your skills and contribution to an organization. So go ahead and toot your own horn."No Questions Asked"Finally, once you provide your reviewer with a useful template and make it clear that your intention is to make this process as painless as possible for her, then it's time to hand over the reins and offer a "no questions asked" policy. First, give your colleague an easy "out" to decline your request for any or no reason. Then, assuming she agrees, give her ample leeway to change, modify or edit your letter as she sees fit. You want to convey a sense of trust in her and give her an opportunity to write a letter she is entirely comfortable with.Let's take a look at what this request might actually look like:Highlight their QualificationsDear John,Hello, I hope you are well. I am writing to ask a huge favor — I'm applying for a senior marketing position with Merck and I was hoping you'd consider writing a letter of recommendation on my behalf. You have so much credibility within the product development space that I thought you'd be a perfect person to act as a reference.Provide a TemplateI have included a list of bullet points along with a draft letter you might consider using as a template. I'd like to make the process as easy as possible on you and I know it's hard to recall details about the many different projects we worked on together in 2007 and 2008. During admissions, most business schools- undergraduate and graduate- expect to see at least one, preferably two or three, recommendation letters for each applicant.Recommendation letters provide admission committees with information that may or may not be found in your application, including academic and work achievements, character references, and personal details that set you apart from other applicants. Essentially, a recommendation letter is a personal reference that explains why the school should recognize you, your achievements, and your character.Just as a good recommendation letter can be an asset, a bad recommendation letter can be a hindrance. Here are some do’s and don’ts to keep in mind when securing your recommendation letters:Do’s∙Do choose someone who knows you well enough to give you a recommendation.∙Do get recommendations from employers, professors, school administration, and anyone else who is familiar with your workethic.∙Do ask for the recommendation in person, rather than sending an email.∙Do tell the letter writer why you need the recommendation letter.∙Do mention specific things that you would like to see included.∙Do send a thank you note afterwards.∙Do keep copies of the letter.You may need to use it again in the future.Don’ts∙Don’t wait until the last minute. How to Ask for a Recommendation LetterSTEP 1: Select who you will ask to write you a recommendation letter:Check to see if the program you are applying to requires that the letter(s) come from certain individuals. (i.e. science professors) Consider who knows you best and could best speak about your potential for the opportunity. If the individual you are hoping to ask is someone that you don’t know well, take steps to get to know them better before asking for a letter of recommendation. (see other side of this doc.) Be aware that a highly known person is not always the best recommendation writer. It is more important that the writer know you well.STEP 2: Give your recommender ample time to write the recommendation letter:Identify the deadline(s) for when the letter(s) must be submitted and give your recommender ~1-2 months notice.STEP 3: Determine your approach for requesting a recommendation letter:You can pose your request in person, by phone, or through email. In person requests are best since the interaction allows you to really connect with the potential recommender. Make sure that your request includes reasoning for why you have selected this individual to serve as a recommender (i.e. I learned XYZ from your class, Your supervision of my research and support in the lab really helped me XYZ, This experience was especially significant because XYZ, etc. and therefore I hope that you will be able to shed light on XYZ) Provide the recommender with a packet of information that will assist them in preparing your letter of recommendation.What Your Letter of Recommendation Packet Might Contain:A Cover Letter: Should addresses the writer, thank them for agreeing to write the letter, explain why you’ve asked them to write the letter, and provide instructions, etc. Deadlines(s): Specify when the letter must be completed. It is your responsibility to remind your recommender(s) of these deadlines. Address: Clarify where the letters should be sent and whether the letter(s) should be sent by regular mail, submitted online, or signed and sealed across the back for you to pick up at a particular date. Position/Program Description: Provide a clear description of the position or program you are applying for. If applying to graduate school, state the exact program you are applying to (i.e. MD, MDPhD, DO, etc.) If applying for a scholarship, the description should explain the terms of selection. If applying for a job or internship, the job description should describe the position’s responsibilities. (Whenever possible, include printouts or photocopies of materials from the source describing these things, or links to them online.) Personal Statement: Help the recommender understand your motivation and interest in the program/position you are applying to. Resume: Provide a full list of education, experience and activities Academic Transcript: Report coursework completed, grades/GPA, degree/major, and Institution(s) attended Project/Work Sample: Remind recommender of the work that you’ve done for them. If it is a professor/supervisor/etc. provide copies of your work with his/her grade and comments attached. Copy of the Actual Application: If you are organized enough to be able to provide the letter writer with a copy of your application for the job/scholarship/internship, that’s great. Any Additional Forms/Documentation: If the program you are applying to, or service you are using, requires additional materials for the recommender to review and/or submit with their letter make sure you share this information with the letter writer.Adapted with permission from MIT Professor Christopher Capozzola.How to Get to Know Your FacultyHow can I get to know my faculty outside of the classroom?Attend department open houses and other campus activities that allow you to mingle or participate in events with faculty. Engage in research with a faculty member from your academic department/area of interest. Sit up front in class and participate. By preparing for each class as you’ve been instructed you will be able to actively participate in the discussion. Stay after class. If you are interested in the topic that was discussed you might consider staying a few minutes after class to pose additional questions or to follow up on a point that was made. Use office hours to gain additional clarification on the material presented in class and/or to engage in conversation or discussion with your professor. TA for a class that you have a good foundation of knowledge or comfort with. Invite faculty to attend campus events of interest or to dine with you in the residence halls.Some things to consider:Faculty are busy so it is important to be mindful of their time. Consider using office hours since this is time that the professor has dedicated to meeting with students. Five minutes of genial conversation is a good starting point. Pay attention to body language and if you get the message that you’re overstaying your welcome graciously leave and consider another visit or different approach. Faculty are people too. While they are happy to help you with your homework, they also have interesting hobbies, interests, etc. to talk about. Look for common ground that may allow you to get to know or relate to your professor on something other than your class assignment. Faculty have diverse experiences. Faculty have a lot to teach beyond the subject they are assigned. Consider asking them about their own career development, higher education expereince, research, etc. Faculty like to be invited. If you know of an event or activity on campus that your professor might be interested in invite them. You might also ask them to meet you and a group for lunch or dinner in your residence dining hall. Faculty don’t live in the classroom. When you see your professor on campus say hi. Friendly gestures and acknowledgements are usually well received and appreciated.4-2011。
