第3/13页商务英语的写作技巧引言随着对外开放的不断扩大和外贸体制改革的不断深化,特别是中国加入WTO后,我国的对外贸易取得较快的发展,国际商务和对外贸易活动日益频繁。
对国际商务活动从业人员来说,英语能力是最基本的,也是最重要的。
而商务英语应用文在外贸业务和商务活动中使用也越来越广泛而频繁,它在互通商业信息,联系商业事务及促进贸易关系等方面起着重要作用。
了解和掌握商务英语应用文写作对国际商务、外贸业务从业人员来说是非常重要的。
众所周知,要写好商务英语应用文,首先要具有一定的英文写作水平与经济贸易知识[1]。
其次,应熟悉和掌握各种应用文的写作格式和特点,特别是掌握商务英语的语汇、句型套语和谋篇布局的写作技巧[2]。
除此之外,更要了解商务写作和一般性写作的区别,以及商务写作的原则[3]。
经过反复地学习、模仿和套用商务英语应用文范例,才能掌握商务英语应用文的书写规律、要求与方法技巧,逐步学会写各类商务英语应用文。
1 商务英语写作概述1.1 商务英语写作的种类广义的应用文(Applied writings in broad sense)泛指一切应用文字,文体大致有别于记叙文、抒情文和论说文,界限不太明显;狭义的应用文(Applied writing in narrow sense),主要指政府、机关、群众团体或企业法人间用于交往的文字,如公文(official documents)、函电(1etters or correspondences)等。
而随着社会经济的发展,英语应用文的应用范围越来越广泛,以商业为主体的和为商务活动服务的各类实用文体都应包括在英语应用文范畴之内,例如,请柬、邀请信、祝贺函等[4]。
本文所论及的英语应用文,范围限于后者,且以商业英语应用文为主。
商务英语应用文归纳起来有三种形式:一种是各种商务信函;一种是在各种场合的致辞、演讲或提出各个不同内容的报告、约定;第三种为内容极为简捷,但都要求格式化的电报、电传、请柬、通知、便条、日程、议程等等。
1.2 商务英语写作的语言特点1.2.1 专业术语的丰富性商务范围很广,涉及国际贸易、经济、金融、营销、保险和法律等多个领域,而每[5]第4/13页个领域都有自己的专业术语,如国际贸易方面的Free on Board(离岸价)、standby credit(备用信用证);经济方面的demand curve(需求曲线)、corporate charter(公司章程);金融方面的blank endorsement(空白背书)、foreign exchange market(外汇市场);营销方面的market share(市场份额)、after sales service(售后服务) 等;保险方面的force majeure(不可抗力)、All Risks(一切险);法律方面的claim(索赔)、rules and regulations(法规)等等。
要真正读懂商务英语文章,译者必须懂得商务英语所涉及学科领域的相关知识,避免专业术语词汇普通化,否则轻则闹翻译笑话,重则将造成严重的经济损失。
1.2.2 商务文体的多样性商务文体主要是指在商务和贸易活动中使用的文体。
商务文体涉及的领域颇广如商务信函(Business Correspondence)、会议纪要(Synopsis of Minutes)、法律文书(Legal Documents)、备忘录(Memorandum)、说明书(Specification)、商业广告(Commercials)、通知(Notice)、报告(Report)、演讲(Speech)、协议或合同(Agreement or Contract)以及各种相关单据与表格(Bills and Forms)等,具有实用性、多样性和行业性的特点。
按照其语言表现形式,可归纳为公文体、广告体和论说体三类。
不同的文体都有其本身特殊的语言规律。
因此,翻译的方法和技巧也不尽相同,如广告、商标等文体强调使用对公众吸引性的语言,用词多趋于通俗化、口语化、简洁、生动、并富有鼓动性;而商务信函、合同、法律文书等公文文体又以其正式、严肃、庄重为特点,大多以术语的形式出现,如hereafter(自此,今后)、hereby (特此,兹)等。
而报告和演讲中属于论说体,这类文体用词正式、严谨,因此以书面语词汇为主。
1.2.3 缩略词的常用性由于商务竞争越来越激烈,商人都在想方设法提高效率。
因此商务英语就具有了简约性的特色,突出的具体表现就是大量使用缩略词。
缩略词的表现形式很多,主要有4种:一是首字母缩写词(initialing),二是截短词(clipped word),三是拼缀词(blend),四是首字母拼音词(acronym)。
缩略词不仅使用频率高,而且还有扩大化的趋势,如在商务谈判中就经常听到厂长、经理说:关于付款条件,我们希望用LPC而不希望DPA。
这里的LPC指的就是Letter ofCredit(信用证),而DPA则是指Document against Acceptance(承兑交单)。
由于商务英语的缩略词都经过了各国商人的长期使用,已经被人们广泛接受,其意义也十分明确,因此写作运用时无需解释。
不过要准确地使用或翻译缩略词,则一定要知道缩略词的全称,并且要理解其意义。
2 商务英语写作原则贸易业务往来中的商业语言,合同、协定中的法律语言,商业广告中的宣传语言等等,这些都属于商务英语应用文的范畴,具有其特殊的风格、惯用格式和专用的词汇与语句。
因此写作时必须本着谨慎、认真的态度。
在撰写时应该注意以下几个原则:2.1 生动具体不同内容的商务英语应用文应写得生动、具体、明确。
特别是要求对方作出明确反应的商务信函,或是答复对方提出的要求或问题的函电、报盘、承诺等等,该具体的就要具体,避免含混模糊、笼统抽象。
所谓生动就是要求将要阐明的问题,用活的语言表达出来,给读者留下深刻难忘的印象。
设身处地为读者着想:他需要什么?他希望什么?他的利益何在?以及他的问题核心是什么?因为西方人的思维是理性的,强调以理服人,所以在写作中要以We-attitude,而不是You-attitude的语气,抓住对方的中心问题,掌握对方的心理,且尽可能强调对方的重要性,说服对方,达到交流的目的。
2.2 内容完整一篇应用文,如书信或外贸函电,内容必须完整。
由于西方思维倾向于直截了当的态度对待别人,英语段落往往在语篇的开始就直接点题,态度明确。
所以,当你在答复别人来信来函的时候,最好在开始提及对方来信来函日期和核心内容,甚至是对方的信函编号,再回答对方的问题和提及自己的愿望要求,其目的是使对方读到你的复函时明白其意,从而断定该信的重要性或将其转交给相关的部门处理。
这样,既可以达到交流的目的,又能节约大量的商务时间,提高工作效率。
2.3 准确无误商务英语应用文必须写得准确,因为它涉及到买卖双方的权利、义务和利害关系等,是各种商业单据(如合同)的依据[6]。
这里说的“准确”不仅指英语语法,标点符号和拼写准确。
商业贸易离不开数字,对商务文件和单据的数字的准确性要特别加以注意,避免“差之毫厘、失之千里”,比如:5%-10%(包括5%和10%),从3月1日至9日(包括3日和9日)。
商业信件和外贸函电中常常离不开商业术语。
一般常用的商业术语用字简洁,意义明确,若使用得当,将有利于商务活动的展开;使用不当,就会引起误解,造成混乱,甚至产生不必要的纠纷。
因此,必须准确理解和运用商业术语,力争商业信函准确无误。
第6/13页2.4 清楚简洁撰写人应该尽量将自己的意思表达清楚,能使对方完全了解你的原意,不致产生误解。
因此,撰写人应做到:(1)避免使用含有不同词义或词义模糊的词语,如:As to the steamers sailing from Hong Kong to San Francisco,we have bimonthly direction services.其中“bimonthly”一词含有两个意思,即每月两次和两月一次。
这对于读者来说,就可能感到迷惑不解,应该改写为:(a)We have two direct sailings every month from Hong Kong to San Francisco.(我们每月有两班从香港到旧金山的直航)。
(b)We have semimonthly direct sailings from Hong Kong to San Francisco.(我们每半个月有一班从香港到旧金山的直航)。
2.5 有礼有节西方民族采取的是客体思维方式,力求语言客观、公正、严密。
采取客体思维的英语在表示意见的时候,倾向于间接婉约,用劝说建议的方式(persuasive),表示肯定或否定。
对外所写的商业贸易应用文要体现我国的外贸政策和外交礼节,既要遵守国际贸易的习惯,又要维护自身的利益,做到不卑不亢,得体脱俗,落落大方。
所以,商务应用文的内容要写得以有理、有利和有节为准,不要盛气凌人,避免命令和粗鲁。
有礼有节意味着体谅对方,就是要顾全对方的要求、愿望、情感等,力求准确地肯定地谈问题,尽量避免否定地谈问题[7]。
