商务文书写作概述
为了更有效地学习并运用有关商务文书写作的方法和技巧,让我们首先了解一下商务文 书写作的基本内容。
(一)商务文书的分类 在实际工作中,大家可能会遇到形形色色、各种各样的商务文书,根据其形式和内容用 途可以大致将其划分为以下的类型:
1.按形式来划分 以形式作为划分标准,商务文书可以大致分为以下两类: 固定格式的商务文书 常见的固定格式的商务文书主要有:商务合同、邀请信、通知、请示以及批复。相比较 而言,这类商务文书的格式是有比较规范的要求的。 非固定格式的商务文书 而所谓非固定格式的商务文书,在日常工作中则往往应用得更为广泛,其中最为大家所 熟悉的就是随着计算机和网络一起兴起的电子邮件。
2.商务文书写作的要素 商务文书写作有以下四个要素: 主旨 所谓“主旨”,就是指商务文书的中心思想,即作者所要表达的意思。商务文书的写作 并不是为了写而写,而应该具有一个明确的目的;换而言之,就是应该对方看到该商务文书 后产生作者所希望的感受和行动。 在主旨方面,应该遵循“正确,务实,集中,鲜明”的原则。 材料 好的商务文书不是可以一蹴而就的,需要围绕作者的主旨来收集很多相关方面的素材。 例如在政府机关中撰写政策性的通知,就需要查阅很多以前类似的、与之相关的批文、章程
2.按内容用途来划分 以内容以及用途作为划分标准,商务文书则又可以分为以下两类: 通用的商务文书 常见德通用商务文书主要有:通知、会议纪要、请示、批复、总结、备忘录以及报告等。 由于相对于礼仪性商务文书而言,这些文体使用得更为频繁,所以在课程后面的内容中将对 它们的写作方法进行专门的讨论。 礼仪性的商务文书 而所谓礼仪性的商务文书,则主要是指贺信、贺电、邀请书、请柬以及慰问信。
2.正式程度的表现 在了解了正式指数的内容之后,我们接着来讨论商务文书正式程度所表现的方面: 形式 这里所谓的“形式”,是指商务文书所采用的媒介的形式,例如发电子邮件、寄书信或 者留便签等。不同的媒介形式,决定了商务文书的体裁、格式以及称谓等具体内容。 按照正式程度来划分,宣传册、政府公文、带抬头的信件、请柬以及行文正式的电子邮 件附件都是正式的商务文书,通常会给目标读者以受到重视的感觉;而一般的电子邮件、便 签等则属于非正式的商务文书。 称谓 “称谓”就是对目标读者的称呼。 语气 而“语气”,就指是在撰写商务文书的过程中采取相对轻松愉快的口吻还是比较凝重严 肃的口气的选择。

(二)步骤二:决定文章的正式程度(一) 在这个步骤中需要把握以下的内容:
1.正式程度的判断依据:正式指数 判断在某一个商务文书中所应该采用的正式程度,可以应用“正式指数”来操作。所谓 的“正式指数”主要根据以下三个问题所涉及的内容来确定: 商务文书的撰写者本身是否很了解目标读者; 目标读者的地位比商务文书的撰写者低吗; 商务文书的内容是好消息吗。 商务文书的撰写者应就这三个问题的实际情况在“1-10”之间来分别予以打分:如果 特别了解目标读者就是 10 分,比较了解就是 7、8 分,而不了解甚至很不了解就是 1-3 分; 如果是给自己的下属写则为 10 分,平级则为 5 分,给自己的上级写则为 1 分;如果内容为 好消息则为 10 分,坏消息则为 1 分。 这三个问题的得分之和越低,则相应的商务文书应该越正式。

商务文书写作的步骤
在了解了商务文书写作的概述内容之后,我们来看看商务文书写作的以下六个步骤:
(一)步骤一:制定正确的行动目标 在撰写某一个商务文书之前,我们应该首先回到一个问题,即我们希望该文书的对象在 收到文书之后采取怎样的行动;这个问题的答案也就是我们撰写商务文书的行动目标。
(二)商务文书写作的作用 正如前文所提到的,商务文书写作是很多人工作的一部分;而每个人工作首先都是有私 心的,即工作首先是为了生存而不是为了做出贡献,然后再将私心通过公心来实现——公司 或单位好,个人才可以好。因此,商务文书写作对于更好地完成大家的工作是非常重要的。 《福布斯》杂志的创始人——马尔克姆·福布斯曾经说“一封好的商务信函,可以让你 得到一次面试的机会,帮助你摆脱困境,或者为你带来财富”,也就是说,写好商务文书在 一定程度上能够给大家带来很大的经济利益。 从另一个角度来看,商务文书写作与其它任何文本的撰写一样,其作用和最终目的都是 为了与别人进行某种形式的交流与沟通。而需要强调的一点是,沟通并不仅仅是所传递出来 的信息,而是被别人理解的信息。如果理解了这一点,那么我们就可以认识到,在日常工作 及生活中大家所普遍谈及的所谓“沟通的障碍”其实就都是来自于简单传递的单向沟通。 因此,在商务文书写作方面最为重要的一点就是要避免陷入单向沟通的误区,时刻站在 读者的角度来思考问题并形成最后的文字表现,让文书接收方能够理解自己的意图,这样才 能发挥出写作商务文书的沟通作用。
