Unit 11 (a) Arranging a conference
I. Teaching Objectives:
i. To enable Ss to talk about arranging a conference
ii. To practise reading and listening for specific information
iii. To review language for checking and confirming
iv. To practice writing a letter of confirmation
II. Materials needed:
Cassette-Pass Cambridge BEC Preliminary
Cards- 7 Cards: one set of cards per pair / group to be photocopied
from T’s Guide
III. Teaching Process:
i.Unit overview

V ocabulary: Ss order cards showing how to arrange a conference.
Listening 1: Ss listen to a telephone call about arranging a
marketing conference and answer true/false questions
before filling in a form.
Speaking: Ss discuss what the conference orgainser’s job involves.
Reading: Ss scan advertisements about three conference venues for
specific information.
Speaking: Ss work in pairs and select a venue for the marketing
conference.
·Confirming arrangements
Listening 2: Ss listen to a telephone call in which conference arrangements are checked and complete notes.
Language focus: Ss review language for checking and confirming
information.
Speaking: Ss discuss a conference programme. (Activity sheet pages 126 and 130)
Writing: Ss work in pairs to plan and then write a letter of confirmation.
·Self-study
V ocabulary: Collocation exercise (conference verbs and nouns).
Gap-fill exercise (conference vocabulary).
Language focus: Question writing (linked to conference nouns).

Step 1 An enquiry
Warmer: T introduces the subject of conferences and elicits briefly whether students have attended or organized conferences and their general opinion of them.
Ex. 1 V ocabulary
T hands out a set of cards to each pair of students to sort into the correct order for organising a conference. This vocabulary will be recycled in this step. We need to concern about the details of the conference which include choice of location, equipment needed, budget, date, duration, finalizing the programme details, invitation of delegates and asking for a quotation.
Suggested answer:
1.decide on the budget

Ex. 2 Listening 1
T sets the scene before playing the cassette. Students complete the true/false exercise.
Notes:

Ex. 3 Listening 1
Ss listen again and complete the form. Ss check answers in pairs before class feedback.

Ss draw up a list of what they think Rachel’s job involves. T then asks them if they would like to do such a job.
Useful expressions:
1.answering calls about arrangement of conferences
2.asking for the details of the conference which include venue,
date, duration, price, number of delegates, equipment, catering,
etc.

Ex. 5 Reading
Before Ss read the proposals, T elicits the type of information Ss would need for deciding on a venue for a conference ( price? Near the centre/airport? Attractive location? Modern or old-style charm? etc.) Ss then read the three descriptions and complete the scanning exercise. T points out that the answers may include more than one hotel.

Ss work out which hotel would be che apest for Daniel’s conference. They then decide if any other considerations would outweigh this factor. For instance, location/ venue, distance from the centre/airport, setting, modern or old-style charm.
Step 2 Confirming arrangements

Before the listening exercise, T asks Ss to read through Rachel’s notes and checks Ss know what type of information they are listening for. Then T replays the cassette for Ss and focuses on language for checking before referring Ss to the Don’t forget! section.

Ex. 2 Speaking
Before Ss look at the Activity sheets on pages 126 and 130, T introduces the notion of the conference programme and brainstorms the type of information included. Ss then work in pairs to complete the programme. T rounds off the activity by asking for any comments on the programme. T explains plenary; this is for Ss’ passive recognition rather than active use.
e.g., Are there any details missing? / Is the timing all right?
Ex. 3 Writing
T elicits the answers to prompt questions and encourages Ss to plan the letter before writing.
Suggested answer:
Dear Mr. Black
Wirth reference to our recent telephone conversation, I am writing to confirm the arrangements for the Amtech Marketing Conference.
The conference will take place at the Karoliny Conference Centre in
Plague from 25 to 27 September. The 37 delegates will arrive for dinner on the Friday and leave after lunch on Sunday. There will be
a conference room and a seminar room for the conference.
The Europa Events representative will welcome delegates on 25 September. Delegates will pay their phone bills; their drinks will go to the Amtech master account.
I enclose the conference programme and will confirm the name of
the Europa Events contact person in a few days. If you have any other questions, please do not hesitate to contact me.

Unit 11(b) At a conference
I. Teaching Objectives:

iv. To review time clauses referring to the future

III. Teaching Process:
i.Unit overview
·Welcome to the conference
Listening 1: Ss listen to the opening speech of a conference and
complete the conference programme. Ss then listen
again and answer comprehension questions.
Language focus: Ss read the tapescript and underline present simple
verb forms referring to the future in time clauses.
Ss then complete the Don’t forget! section. Ss
make complete sentences about the programme
using prompts on cards and time conjunctions.
Speaking: Ss work in pairs and decide how they would orgainse a
sightseeing tour of their own city/town as part of a
weekend conference.
·The confirming report
Reading: Ss read extracts from the conference report and match them with the relevant programme item.
V ocabulary: Ss read the extracts again and underline adjectives.
They then provide opposites for these adjectives.
Listening 2: Ss listen to a delegate giving feedback on the conference and fill in her feedback form.
Speaking: Ss work in pairs and discuss what makes a good
conference.
·Self-study
Language focus: Sentence completion (time clauses).
V ocabulary: Opposites of adjectives.
Opposites of sentences (focus on hard and long).

Step 1 Welcome to the conference
Warmer: T introduces the notion of a conference and asks what items are usually included in a conference programme. T asks Ss to predict what they would expect to see on a programme for a sales conference.

Ss read the typescript and extract the verb forms in the time clauses. Then Ss complete the Don’t forget! box.
Ex. 4 Speaking
Ss work in pairs. They take turns to pick up two cards. They then use a time conjunction to make a sentence about the pragramme.
Ex. 5 Speaking
Ss work in pairs to decide on a sightseeing tour for conference delegates to their city (museums, gardens, palaces, shopping streets etc.) When pairs have worked out a suitable programme, T selects one or two samples across the group.
Useful expressions:

Step 2. The conference report
Ex. 1 Reading
T may wish to prepare Ss for this activity by discussing who would write up a conference report (the organiser? a staff representative?) and why (to act as a reminder? to act as a record? To provide information for people who could not attend?). Ss then read the extracts and decide who wrote this particular report (a staff representative).
Ex. 2 Answer the questions.
Suggested answers:

Ex. 3 V ocabulary
Ss focus on adjectives evaluating the sessions. T elicits these from Ss before they brainstorm their opposites: useful, helpful, productive, intelligent, exciting, busy, interesting, brief, professional, well-prepared, positive, hard, rewarding, serious, heated.
Ex. 4 Listening 2
T prepares for this by discussing the function of feedback forms and their general usefulness. Ss then listen for Jodie’s feedback and complete the form.
Suggested answer:
1. Content: Interesting sessions and good speakers.
2. Organisation: A lot better than last year. 30 delegates was just perfect.
3. Venue/Accommodation: The conference rooms were good and the
hotel rooms were clean and comfortable.
4. Suggestions: Have the next conference in the same hotel. Have the
Saturday night dinner in another restaurant.
5. Any other comments: Saturday night dinner was not good: the food
wasn’t very good and the service was slow. Step 3 Self- study.
