I. Purpose
To establish a comprehensive and efficient warehouse in and out management system to ensure the orderly flow of goods, accurate inventory management, and effective tracking of incoming and outgoing materials.
II. Scope
This policy applies to all employees involved in the management and administration of the warehouse, as well as to all incoming and outgoing materials and products.
III. Definitions
A. Inbound Materials: Refers to all materials, components, or products entering the warehouse, either from suppliers, production lines, or other sources.
B. Outbound Materials: Refers to all materials, components, or products leaving the warehouse, either for distribution, production, or other purposes.
C. Warehouse Management System (WMS): Refers to the software and technology used to control and manage the movement and storage of materials within the warehouse.
D. Inventory Management: Refers to the process of overseeing and controlling the procurement, storage, and usage of materials, components, and products within the warehouse.
IV. Responsibilities
A. Warehouse Manager
1. Develop and maintain the warehouse in and out management system.
2. Ensure compliance with all policies and procedures related to inbound and outbound material management.
3. Provide training and support to warehouse staff on the proper handling of incoming and outgoing materials.
4. Monitor and track the performance of the warehouse in and out management system.
B. Warehouse Staff
1. Receive and verify all incoming materials against purchase orders and packing lists.
2. Ensure the accurate and timely documentation of all inbound and outbound materials.
3. Handle and store incoming and outgoing materials according to safety and quality standards.
4. Use the WMS to track and locate materials within the warehouse.
C. Procurement Team
1. Provide accurate and detailed information on incoming materials to the warehouse staff.
2. Coordinate with suppliers and logistics partners to ensure timely delivery of materials to the warehouse.
D. Production Team
1. Provide accurate and timely information on outgoing materials to the warehouse staff.
2. Coordinate with the warehouse staff to ensure the availability and timely delivery of materials for production.
V. Procedures
A. Inbound Materials
1. Receiving
a. Upon the arrival of inbound materials, the warehouse staff will receive and verify the contents against the purchase order and packing list.
b. Any discrepancies or damages will be reported to the procurement team for resolution.
c. The received materials will be labeled, inspected, and stored in the designated location within the warehouse.
2. Inventory Management
a. The WMS will be used to update the inventory records with the details of the received materials.
b. The warehouse staff will conduct regular cycle counts and physical inventories to ensure the accuracy of the inventory records.
3. Storage
a. The incoming materials will be stored according to their specifications, safety requirements, and shelf life.

B. Outbound Materials
1. Picking and Packing
a. When a request is received for outbound materials, the warehouse staff will use the WMS to locate and retrieve the materials from the designated storage area.
