A.Incoming Fax/Telex/Cable/E-mail for hotel guests:

酒店客人的传真/电报/电传/邮件的处理:

1.For in-house guests, message will be sent to inform guests for collection.

对于在住客人,留言必须整理好并送到客人的房间。

2.For all urgent faxes/telexes/cables/e-mails, guest should be contacted immediately by

telephone for collection. If the guest is not in the room, a message will be sent to inform

him for collection.

对于紧急的传真/电报/电传/邮件,必须通过电话方式与客人联系。如果客人不在房

间,应以留言的形式通知他。

3.For same day arriving guests, Front Desk Clerk should immediately attach it to the

registration cards in order to hand it over to guests upon their arrival.

对于同一天抵达的客人,前台接待必须立即在登记单上附上这些消息以便客人抵

达时立即可以得到它。

4.For future arriving guests, the fax/telex/cable/e-mail will be placed in envelope and

kept in ‘Hold for collection’ cabinet by alphabetic order. On the day of guests’ arrival,

the Front Desk Clerk will retrieve it from the cabinet and attach it to the registration

cards.

对于未来将要抵店的客人的这些传真/电传/电报/邮件,必须用信封装好并按字母

顺序存放于收集柜内。在客人抵达的那天,前台接待员必须从柜子里取出将它附

在登记卡上。

B.Incoming Fax/Telex/Cable/E-mail for internal offices:

酒店内部传真/电传/电报/邮件的处理:

1.All incoming fax/telex/cable/e-mail for internal offices will be passed to the department

concerned by bellman accordingly.

所有内部进来的传真、电传、电报都必须由行李生分派到各部门。

2.After office hours, any fax/telex/cable e-mail for internal offices must be passed to

Duty Assistant Manager who will use his discretion to take appropriate action if

necessary. Details of action taken should be mentioned clearly if any and he should

initial it before passing on to the department concerned.

非工作时间一些内部的传真、电传、电报必须送到值班大堂副理处根据需要采取

相关措施。在分送到各部门以前要注意一些相关的细节。

C.Outgoing Fax/Telex/E-mail for Hotel Guest:

为酒店客人发电传/电报/邮件的处理:

1.This is the duty of the Business Center Secretary to handle outgoing

fax/telex/cable/e-mail for hotel guests during office hours. After office hours , Duty Assistant Manager will take over the duties.

这是商务中心的职员在当班期间必须处理好在住客人的传真、电传、电报、电子邮

件等。下班之后将由值班的大堂副理负责办理。

2.Guest are requested to fill out the fax/telex form..

根据客人的需要填写传真、电报表格或电传表格。

3.The Duty Assistant Manager should cross check the contents of such fax/telex

destination, fax/telex number or e-mail address before acceptance.

值班大堂副理与前台职员必须确认好传真、电传、电报的号码、地址等内容。

4.Guest are requested to sign on the Telecommunication Voucher to acknowledge the

charges.

要求客人在电信单上签名确认此项收费;

D.Outgoing Telex for Internal Departments:

酒店内部各部门发出的电传的处理:

1.All outgoing telexes must be approved by concerned Department Head with

his/her signature.

所有发出的电报必须有相关部门经理签名确认

2.After approval , it will be handled by its own department secretary.

在同意批准之后将会由各部门的秘书处理

3.She should record all the proper information into the Control Log Book for

Accounts Department’s reference.

各部门秘书会记录所有正确的资料在帐目控制交班上以供各部门帐目参考
