注:年份后无任何标点符号。
3.信内名址:(Inside Name and Address)指收信人所在公司名址
4.经办者:(Attention Line)通常为收信人名称。切忌直呼对方大名。

二.基本格式:
1.信头(Letterhead):写信人有关信息(公司名称、地址、电话、传真、
E-MAIL地址等)
2.案号和日期(Reference and Date No.):
根据具体需要,备注“案号”,或是往来函电的序号,或是实际书写者的名字简写,等。
而“日期”书写需注意以下几点:

函电写作基本规范
一.书写格式:
函电写作有“齐头式”和“缩进式”两种格式。“齐头式”指信件各部分内容均齐左对齐(包括正文的每段首单词);而“缩进式”则指传统格式。
目前国际上使用频率较高的是“齐头式”。
范例:
1.缩进式:

(2)避免不必要的重复
(3)多使用短句、单词:如:due to the fact that,
可改写为:because
6.具体:(Concreteness)切忌含糊不清的电文。
7.正确:(Correctness)
另外,谈到具体业务时,用语一定要专业。
5.称呼:(Salutation)根据具体需要确定称呼,结尾处加逗号,而不是冒号。
6.标题:(Caption or Subject)函电的中心内容,简洁明了。
醒目起见,可以全部大写。
7.正文:(Body of the Letter)一个中心内容为一段;
段落与段落之间空开一行。
8.结尾敬语:(Complimentary Close)结尾处加逗号。常用的有:Yours truly,
1.礼貌:(Courtesy)语言要有礼且谦虚,及时回信也是有礼貌的表现
2.体谅:(Consideration)写信时要处处从对方的角度去考虑有什么需
求,而不是从自身出发,语气上更尊重对方。
例如:“You earn 2 percent discount when you pay. We will send you the brochure next month.”就比“We allow 2 percent discount for cash payment. We won’t be able to send you the brochure this month.”要好。
3.完整:(Completeness)一封商业信函概况了各项必需的事项,如邀请信
应说明时间、地点等。
4.清楚:(Clarity)意思表达明确,要注意:
(1)避免用词错误
(2)注意词语所放的位置
(3)注意句子结构:不正确的句子结构,也会引起歧义。
5.简洁:(Conciseness)要注意:
(1)避免废话连篇:如:We wish to acknowledge receipt of your letter…

可简写为:cc(后跟被抄送者姓名或部门)
12.附言:(Postscript)如果完成中文后又想起一件事情,可以加在此项
中。中文还可翻译成“又启”。尽量避免使用,这有可能会使收信者ቤተ መጻሕፍቲ ባይዱ为写信者在写函电前缺乏周密的考虑。
