中文书信格式及要求

中文书信内容的结构,主要由称呼、启词、正文、酬应过渡、祝颂词、签署、日期等七部分组成。

1、称呼称呼是写信人对受信人的尊称,主要依据相互间的隶属关系、亲疏关系、尊卑关系、长幼关系等而定,一般都用“敬语+称谓”的形式组成。如:“尊敬的王总经理”、“亲爱的刘主任”、“尊敬的董事长先生阁下”等。对某些特殊的内容或与境外华文地区的人员往来还可加上“提称”如:“尊敬的王博士总经理海成先生台鉴”、“亲爱秘书明玉小姐雅鉴”等等。

2、启词启词是信文的起首语,可有多种表示法。如问候式的“您好”、“别来无恙”;思怀式的“久不通信,甚为怀想”、“去国半载,谅诸事顺遂”等;赞颂式的“新春大吉”、“开张大吉”等;承前式的“上周曾发一传真件,今仍具函,为××事”,“贵公司×月×日赐函已悉”等等。不分对象,不论内容,一律以“您好”为书信之启词,实在极不恰当。此外,公务书信的启词还可用“兹为、兹因、兹悉、兹经、兹介绍、兹定于”;“顷闻、顷悉、顷获”;“欣闻、欣悉、欣逢、值此”,以及“据了解、据报、据查实”等一系列公文用语,以提领全文。

3、正文正文是书信的主体,是书信能否达到写信人理想效果的关键。一封信可以专说一件事,也可以兼说数件事,但公务书信应该一文一事。正文要清楚、明了、简洁,并注意情感分寸,不应有昵亵轻狂之嫌,也不可显侮蔑轻慢之意。

4、酬应过渡正文结束时,可写几句酬应性的话作为全文的过渡。如“我方相信,经过此次合作,双方的友谊将有进一步发展”。又如“再次表示衷心的感谢”或“代向公司其他同志问候”等等。也有用公务书信的常用结语过渡,如“特此函达、特此说明、特此重申、特此函询、特此致歉”,或“肃此专呈、肃此奉达”,也有“特此鸣谢、敬请谅解、尚祈垂察、务请函复、至希鉴谅”,以及“承蒙惠允、承蒙协办、承蒙惠示、不胜荣幸、不胜感激”等等。

5、祝颂词书信的最后,写祝颂词是惯例。由于写信人与受信人的关系各有不同,书信内容各有不同,祝颂词的写法便呈多种多样。一般说来,有“即颂时绥、敬颂台安、此致敬礼、谨祝万事如意、诚祝生意兴隆”等等,有时,因过渡词含有明显的祝颂义,也可省去祝颂词。

6、签署书信的签署以写信人全名为要,不能只签个姓氏或习惯称呼,如“老王、小王、小李、张主任、赵经理”等,而要完整地写成“××部主任张金水”、“××公司经理王富成”或者“××公司办公室秘书李倩”、“××部业务员刘震”等。今天,许多书信都以计算机制成,但即使已打印了姓名,仍应再以手书签署一遍,这既表信用,亦示诚意。对某些特殊对象,署名后应有具名语,如“谨上、谨呈、敬述”等,以表示对受件者的尊重。

7、日期日期明确本是应用文写作的基本要素,书信自然不可缺了这一项。日期必须准确,表现出写信人的负责态度,而万一记错日期,也许会因此而误事。

中文书信行款规范

1、字迹端正清晰,易于认辨。不写错别字,不写错句。单字不成行,单行不成页。

2、一页纸上至少有三分之一是话语长度跨两行以上的,不宜满页尽是长度不跨行的短句。

3、礼仪性的贺信、唁函、邀请书等不宜太长,但不能少于100字,书写时亦应注意在整页纸上的布局合理,不能一页大纸上就两行小字,这既不美观于样式,又乏诚意于情分。

4、不可用红墨水、红圆珠笔或铅笔写。

5、对境外华语地区通信,要兼顾当地汉语书信的表达习惯。

6、信笺折叠应是文字面朝外,受件人称呼朝外。信笺折叠宜简单地横竖对折,不宜折成燕子状、花瓣状,这种折叠法不宜用于工作信件,会影响工作信件的严肃性。

7、信封使用要按国家邮政总局的有关规定,不可随意印制或改制。信封书写也应按我国邮局规定的规范行事。收件人姓名后可用“钧启、公启、安启、亲启”等,但倘为明信片、则应用“收”字,明信片的寄件人后也不能写“缄”而应写“寄”。

8、邮资要付足,不要寄欠资信,以免因退回补足邮资而造成时间上的延误,邮票贴法

要规范,但勿与地址太近,以免盖邮戳时将门牌号码遮住,造成投递麻烦。邮资总付的信件,要与邮局相关部门妥善交接。航空信的标签要明显。

商业信函的写作要求

商业信函不同于文学创作。文学作品忌显不忌隐,忌直不忌曲,而商业信函应清楚明确,不隐不曲。商业信函的写作要求是:

1)主题突出,观点明确

商业信函是为开展某项商业业务而写的,具有明显的目标。信文内容应紧紧围绕这一目标展开,不要涉及无关紧要的事情,以免冲淡主题;也不必象私人一般信函那样,写入问候、寒喧一类词语。向对方提出的问题要明确,回答对方的询问也要有针对性,不能答非所问,或故意绕弯子,回避要害。鉴于商业信函往来涉及经济责任,所谈事项必须观点明确,交待清楚。例如答复对方订货要求时,必须将供应商品的规格、性能、供货日期、价格与折扣条件、交货方式、经济责任等,一一交待清楚,切忌含混不清,以免日后纠纷。

2)面向对方

为促进双方经销往来,信函应给对方一个好的印象。因此,在写信之前,要设身处地想一想:对方的需要:对方的处境、利益与困难;如何在互惠互利的前提下尽可能考虑对方的需求,还要考虑对方的地位、身份、专业知识、文化程度,接受能力等,使对方正确理解信中所谈内容。

态度诚恳是指信文内容应实事求是,不要夸夸其谈,弄虚作假。同时即使对方提出的要求不能接受,也应用委婉地语气加以解释,以求保持良好关系,不致损害以后的买卖来往。

3)实事求是,谦恭有礼

经商往来要求实事求是,遵守职业道德,维护企业与个人的信誉,不得蓄意欺骗对方或

设下圈套诱使对方上钩,以谋求不正当利益。谦恭有礼不是仅说几句客套话,而是要尊重对方,讲究文明礼貌。例如,收到对方来函,应尽快给以答复,拖延回信的做法是不礼貌的。

4)结构严谨、首尾圆合

结构严谨,要做到这一点应在动笔之前,首先把所要写的内容有条不紊地组织起来,列成提纲或打草稿,以免结构松散,首尾脱节。

商业信函的特点是开门见山。可在信的开头直接进入主题而不落俗套。在信的结尾可提出各种希望等。

5)语气平和,用词准确

为了达到买卖往来的目的,注意写信的口吻与语气是很重要的。商业信函的语气要平和,要平等相符,不得用命令或变相威胁的语气,要做到不卑不亢。

用词准确,不要用一些晦涩的或易于引起歧义的词语。用词不当或不准确,常常会使对方引起误解,甚至被人利用而导致一方经济损失。例如提请对方供货时,不要用“大量”、“许多”一类词语,应具体说明数量。同样,报价不能笼统地说“合理价格”或“市场价格”,而应说明具体价格为多少,用何种货币,怎样结算,有没有各种附加收费,尽量避免使用“大约”、“左右”一类词语。答复对方的来信,最好说明那封来信的日期、内容、编号,不要笼统地说“来信收到”或“上月来信”等,因为来信可能不止一封。

此外,信文用字应规范化,还要正确使用标点符号。

6)清楚简洁,注意修辞

信文内容与形式都要做到清楚简洁。做生意讲求效率与节省时间。清楚简洁的书信最受欢迎。要避免使用长句冗词以及不必要的修辞词。

商业信函以实用为宗旨,它不象文学作品那样讲究修辞,但必要的修辞也是不可少的。不通顺或逻辑混乱的语句,就会影响意思的表达和信息的交流。

最后要养成寄信前至少检查一遍的习惯。除核实内容是否完整、事实是否准确外,还要检查语句是否有毛病,以及检查信件是否能为对方理解和接受,经过检查认为满意后,再签名寄出。

销售信函的七个技巧

1. 写信时想象自己就是消费者。这是书写成功销售信函最重要的方面,但却经常被人们忽略。想象自己就是这封信件的读者,要写一些消费者想要知道的事情——而不是你想说的事情。

你要有吸引消费者的内容,如果你只是强调你的业务,你将失去机会。记住,你的客户最关心的是他或她的需求和愿望得到满足,而不是你银行帐户中收入的增加。

2. 组织信件内容。销售信函就像中学的期末总结,包括引言、正文和结论。在引言中,表明写信的目的。正文就是你的"卖场",在这一部分阐明你所提供的产品或服务为什么是无法抗拒的。结论要用简明的语言概括你观点,并且要求客户接纳你的产品或服务。

3.要让它易于阅读。以一种对话的方式写,就像你平时说话一样;推销信中通常没有必要用正式的口吻。使用短句子。当你开始以更随意的方式写信时,句子自然会变得更短。。以小段落方式写作。人们喜欢边吃早餐边阅读。如果销售信函不能做到文笔流畅、简单自然,那就重写。。编辑、校订你的信函,拼写错误和语法错误也会破坏信函的可信度和效力。

4.抓住读者的注意力。大标题不一定只能用于广告宣传语。它们还能用于告知一些读者感兴趣的事情,这些字要加粗加黑,以便抓住读者的注意力。

5.你也可以用一个很长的标题——三到四个句子——以说明信息的重要性。无论哪种形式,都能引人关注,这样消费者会渴望读完剩下的内容了。

6.使读者感兴趣。通过不断的有趣的信息使销售信函的内容能深入读者的生活,使读者对它感兴趣,语气要积极主动。书写时,要以文字的生动吸引人为基础,这样读者才有信心继续读下去。每句话都要能提起人们的兴趣;否则读者会立刻感到厌烦。重要的部分建议用手写体或一个不同颜色的箭头加以强调,这会保持读者的兴趣。

7.使读者想得到你的产品或服务。向读者提问——在销售信函中什么样的商品或服务适合您?——的方式是最佳的。人们每天都被户外的广告牌、广播电视的广告及直接的邮件狂轰乱炸——所有的这些广告都是为了销售产品。而你的信会因为不是一味地卖东西而是为了提供帮助显得十分突出。

人们不是为了买产品或服务而购买,他们是希望从购买中得到物质或精神上的满足。记住,你不是在卖餐桌,你卖的是一个快乐的港湾,在那里所有的家庭成员团聚在一起、其乐融融。这就是两种销售方式之间巨大的区别。

8.让读者采取行动。潜在的消费者是不知道你的想法的,除非你告诉他们下一步该做什么。如果你希望他们与你联系,那么在你的信中要提醒他们并且提供你的电话号码。如果你

希望他们拜访你的机构、邀请他做短暂的停留,就要给他们留下清楚的地址方位,以及具体的办公时间。

非常重要的是督促你的读者立刻采取行动。他们回应的时间越长,你得到回应的可能性就越小。如果你处在劝说阶段,要提供一个具体的时限。如果你只剩几个有效名额,要确实地声明数量有限。这会使得人们立即行动。

商务信函措辞要讲究

良好的第一影响

试着用“salutation”制造一个好印象。作为一封信的开始,你还要确定收信人的名字和称呼是正确的。例如Dear Ms. Jones。使用Dear Sir or Madam如果你不知道他们的姓名的话。

表明你的目的

你应该在信的第一段阐明写信的原由,例如:As per our phone conversation, I am writing to provide the information you requested.

写信的原因

写商务信件的原因有很多种,例如inquiry询问信息,request求某人做某事,apology 道歉,complaint投诉一个问题。这就决定了信件的形式和语气。

申请信

如果您在写一封请求信,你就可以写Could you possibly... 或是I would be grateful if you could...

转达坏消息

如果你是写一些坏消息或是道歉,那你就应该写的礼貌而得体,并说明问题的原因。例如:Unfortunately we are not hiring any new staff at the moment. 或是I am afraid that we will be unable to meet your order on time due to the problems with our supplier。

信件收尾

在最后一段中,你可以把一些closing remarks 写进去,就像Please contact us if you have any further questions。如果你的信中还包括了文件等等,你可以在信尾处写上Please find enclosed... 或是I am enclosing...

提到今后的联系时间

信尾处你还应该提到今后联系的时间,例如:I look forward to seeing you next Thursday. 结束信件

如何写close信件的结尾,要看你和收信人的关系如何。Yours faithfully比Yours sincerely 更正式,而best regards用于好朋友或是熟悉的人之间。

签名

在结束语后签上你的signature(手签的名字),然后在下面加上你的名字和你的职位。

检查错误

你该在你发信前仔细的proofread你写的信,看看有没有语法、拼写、或发音的错误。最后检查一下你的信是否清晰、简短、正确、谦恭,有说服力以及完整
