Part IV Notes
• We are all human and can suffer mental blanks and lapses of memory at the best of times. • Having a written speech in front of him will give the speaker confidence and also allow him to concentrate on delivering the speech well, rather than remembering it. • Also, you can be sure that you have said everything you intended to say in a logical order.

• Visual help focus attention and reinforce main points. • Slides should only show the “killer facts”, i.e. the main points. • Keep It Simple! • Do not let your visuals distract from what you are saying.

No presentation will achieve its desired level of success unless the presenter gets the audience to:
• HEAR what we have to say (or see what we have to show them) • UNDERSTAND what we mean • AGREE with what they have heard • TAKE ACTION in accordance with our over-all objectives

It may be necessary to refer to the visual aids. • As you can see from the slide, … • Our second slide shows … • The slide indicates the main concerns associated with … • Let’s move onto the next slide. • Turning now to the next chart. • I’d like to draw your attention to… • What’s interesting here is…

• Be sure to mark the number of the relevant slide in your paper notes or script when using PowerPoint. This allows you to keep track of where you are in your script and to find the slide again quickly if required. It also reminds you to press for the next slide at the correct point. A slide on the screen should highlight what you are talking about when you do so. Otherwise it is distracting and confusing.

• I’ll begin by … Then, I’ll mention … After that, I’ll consider … Finally, I’ll summarize my presentation before concluding with some recommendations. • My presentation will be in four parts. First I’ll … Secondly, I’d like to … Thirdly, we can … Finally, I’ll …

Introduction
• • • • Welcome your audience and, if necessary introduce yourself. Smile! Introduce your subject and relate it to your audiences’ needs. Set the agenda by telling your audience what you are going to tell them and how. e.g. Explain your preference for questions.

Structure
A clear structure is important for understanding. It is necessary to help your listeners to grasp the main points and to recognize why you are presenting these points, i.e. why they are important.

• Unlike notes, aids should be very visible. There is no point in showing anything to your audience if it is too small or indistinct to be clearly seen fro all parts of the room. However, visual aids can be very useful since people generally remember much more of what they see than hear. The creation of good aids will add a high degree of professionalism to your presentation so it is worth spending time on them.

Body
• • • • • Ensure that the body is well structured and flows logically. Focus clearly on the main points and relate them individually to their needs. e.g. Provide concrete examples. Keep your audience’s attention. Sign posting.
Why Prepare? To fail to prepare is to prepare to fail. Planning a Presentation • Why? • Who? • When? • Where? • How? • What?

More suggestions:
• • • • • Arrive early and check all the equipment yourself. Do not stand in front of the screen. Do not turn your back on your audience to look at the screen. Do not just read what is on the screen. Leave the slide on screen long enough to be read and understood.

Rules for slides The main rule is KISS = Keep It Short and Simple. Keep words to a minimum on slides. Use large characters in PowerPoint. Titles: 36 – 40 Words: 20 – 24 • Simplify the table to what is essential. If you need to show a lot of data, use graphs, bar charts or pie diagrams instead of tables. • Ensure that any visual aids will be visible to everyone in the room. • Sufficient contrast between background and any colored type. • • • •
