Letters-of-Invitation

Letter of Invitation/ Invitation LetterAn invitation letter serves the purpose of inviting a guest to a party, an event or a celebration while conveying more information than a traditional invitations card. It serves two purposes; 1) to invite the individual to the event and 2) to ensure that the person receiving the letter is going to attend. There are two tenses used within the invitation letter, the present and the future. The present tense conveys information about the event and the future tense ensures the guest is going to attend. There are two types of invitation letter: 1) friendly invitation letter; 2) business invitation letterHow to write an invitation letter1.The tone of an invitation should be always positive, inanticipation of a pleasurable occasion2.Extend the invitation, naming the event and including thedate, time, and place. If the event has a special purpose, such as honoring someone or celebrating an anniversary, state this.3.Indicate the appropriate dress, if there is any reasonfor question.4.Express anticipation.5.Ask for a response by a specific date.Be sure your invitation letter includes:•The name of the person sponsoring the event (who is the host/hostess?)•Exactly who is invited (can someone bring a guest, spouse, child?)•What type of social event is being held•The date, address, and time of the event•Directions or a simple map if the location may be difficult to find•What type of dress is appropriate or preferred•The phone number and deadline to reply; precede these facts with “RSVP” (French abbreviation for “pleasereply”).Sample 1Dear Jane,We have four tickets for a famous film shown at Guangming Cinema, The Longest Day, Friday, the ninth. Personal letters can be written in a casual tone, but sincerity should be obvious in your letter.2. While extending an invitation to speak or perform, you are extending both a compliment and an invitation or request, so the tone of the letter should be hopeful and complimentary. Be direct. Avoid excessive flattery.3. Responses to informal invitations should be brief, but should also convey a sense of warmth and enthusiasm. Repeat the important details of the event in order to avoid confusion and misunderstanding later.4. Formal invitations have a fixed format. They may behandwritten or printed, but never on business letterhead stationery. The invitation is centered on the paper. A stamped, self-addressed response card will frequently accompany the invitation.5. When accepting or refusing an invitation it is usual todo so in a similar style to the invitation which wasreceived. If the invitation is refused it is courteous to give a reason.6. Always answer a formal invitation promptly with a verybrief (one or two sentences) written response which pays careful attention to detail. Keep in mind that the format of the acceptance should mirror that of the invitation. For example, if the invitation is centered on the page, the acceptance should be also. Begin the acceptance by using the third person, unless you are using personal stationery that contains your full name in the letterhead. Then you may begin by using the first person "I."7. While declining an invitation to an event, an expressionof sincere appreciation will help soften your negative response.Useful Expressions:Opening:I take great pleasure in inviting you to …….I should like to invite you to …….I am writing to invite you to ...I would like to request your presence at ... .I think it would be a good idea if you could participate in ...I wonder if you could come ...I would like you to come ...I thought you would like to ...How would you like to join us in ... ?写邀请信结尾段的常用语和套话:I look forward to meeting you.My family and I would feel honored if you could come.We would be looking forward to your participation in the party.I would like to meet you there and please let me know your decision. I really hope you can make it.We are looking forward to your acceptance.we would be pleased and honored if you would consent to attend the conference.Writing practice:1)邀请你的网友Paul 暑假到北京游玩一周。

Dear Jane, I am going to have a dinner party at my house on July 14 (Friday) to celebrate my mother’s 70year-old birthday. It is an important occasion for our family, and my parents and I do hope you can come and share our joy. The party will start at 7:00 in the evening. There will be a small musical soiree. At around eight o’clock, we will start our dinner. And then all the friends will take some photos together. I know you have been busy these days, but I do hope you can make it. My family and I are looking forward to the pleasure of your company. Yours affectionately, Gao Hui

Letters of Invitation (邀请信)

I’d like you to come to dinner on Wednesday, May the eleventh.
Will you have a party with us at our home on Sunday, June the tenth, at six o’clock?
I do hope you can make it.
We are looking forward to seeing you both.
Example Letter of Invitation
Although many people now prefer the convenience of telephoning a response, it’s always better form to answer by note when invited by note.
