Unit One
Working in the Office
An Overview:
This unit is designed to get the Learners familiar with the office routine jobs and environment by finishing task-based exercises. The tasks focus on the following abilities:
Tasks:
Task 1.1 Listen to the sentences, find out the picture each sentence indicates and write down the key word under the picture.
Task 1.2 Listen to the dialogue about taking a message and fill in the blanks with words, phrases or sentences.
Task 1.3 Listen to the dialogue about a meeting and finish the tasks.
Task 1.4 Here are some useful expressions and phrases, preview before this unit. Now please write down the meaning for each of it. Try to put them in use in later practice.
Task 1.5 Read the following table carefully and finish the task.
Task 1.6 Read the passage about office assistants carefully and finish the tasks.

SECTION I –LISTENING
Procedures:
Step 1 Brainstorming (5 mins)
Encourage students to think about the facilities they know and try to name them in English. Step 2 Look at the pictures in Task 1.1 and try to name them in English. (10 mins)
Play the recording and check the answers.
Step 3 Taking messages (15 mins)
Task 1.2 Listen to the dialogue about taking a message and fill in the blanks with words, phrases or sentences.
Step 4 Listening and discussing (30 mins)
Task 1.3 Listen to the dialogue about a meeting and finish the tasks and check the answers. Step 5 Previewing the words and phrases. (20 mins)

1. Read the passage again and understand the difficult sentences and key words of the first two paragraphs.
For example:

3. Typically when support to executives or high level employees is more direct, the office assistant can be termed an administrative or executive assistant.

SECTION III –SPEAKING
Procedures: Accomplishing the office routines
Step 1 Task 1.7 Sending a fax (10 mins)
You are a new member in the company, you need to send a fax from the machine in your office but don’t know how. Now ask the secretary Miss Wang to tell you ho w to send a fax in detail.
Step 2 Task 1. 8 Making appointments (20 mins)
Business people always make an appointment before they go to see or visit their clients or potential customers so that they can make their work more efficient. The most important thing to remember when making appointments is that you are selling the appointment, not your product or services. Therefore, you do not want to be talking too much. You can expand on what you have to offer when you get to the appointment.
Step 3 Task 1.9 Giving directions in the workplace (15 mins)
Complete the following ten sentences by using the department names in the table below. Then describe the departments to your partner. Follow the example.
Step 4 Task 1.10 Arranging schedules (15 mins)
You are the Sales Assistant of a company. The manager is to visit Paris on business for two days and you’ve made a schedule for him. Now you need to talk to your manager about the schedule to see if there is anything to be added or changed.
Step 5 Task 1. 11 Receiving visitors (25 mins)
Work in groups of four. Two of you are hosts, and two of you are visitors. One of the hosts knows one of the visitors. The visitors have arrived at the hosts’ company for a meeting about signing a business contract, and the hosts need to greet and welcome them. Role play the situation by going through the following steps with the help of the language tips.

Situational dialogue: You are an HR assistant named Tom Bruce. Your partner is a new employee named Sandy Lee. Look at the floor plan below and show your new colleague around the company. The ‘tour’ starts at the reception. (P19)

Step 6 Introduction of a memo (5 mins)
The memo (short for memorandum) is a Latin word which means “thing to be remembered”. Memos grew out of a need to streamline correspondence to communicate swiftly, directly and concisely among employees of the same company. They can be sent by one person to another or a group of people. This internal communication can be from superior to subordinate down the chain of command or the other way round. Memos usually serve the following purposes:
△To inform of decision, events, etc.
△To demand actions, responses, etc.
△To remind of arrangement, rules, etc.
△To provide any kind of information
Simply speaking, a memo is something between a business letter and a note in terms of the form of communication.
