• 首先,邮件必须有标题 • 如果没有邮件标题,可能会被认为是病毒, 或者不被重视

• Keep the subject short, clear, and specific • Avoid such headings as: Good News, ‘Hello’, ‘Message from Mary’

写邮件最重要的三个原则
• Be polite, be polite, and be polite…!!! Do not write the e-mail while you are angry. • Be clear, be concise and be specific!! • Be short! Eliminate all the information that is not necessary.
Names 署名
• Include your name at the end of the message. • It is most annoying to receive an email which does not include the name and ID of the sender.

Purpose 开门见山
• Start with a clear indication of what the message is about in the first paragraph. (中西方人的逻辑思维不一样,中国人喜欢在最 后一句说重点,西方人都习惯先说观点,后解 释。) • Give full details in the following paragraph (s). • Make sure that the final paragraph indicates what should happen next.

• Check for spelling and grammatical errors
• 可以把内容copy 到word 里看看,因为 foxmail/webmail 都不带拼写检测功能。

Action 需要由对方做的工作
• Any action that you want the reader to do should be clearly described, using politeness phrases: • 'Could you...' + action • ' I would be grateful if...'. + action • 'Please...'. + action
Greetings 称呼、招呼
• 1. Start the message with a greeting: E.g. Dear +Mr./Dr./Prof. +Smithson, Dear Ms. Stringer, Dear: help create a friendly tone Mr.: help create a formal and business-like tone 如果是第一次联络,不熟悉,长辈,或者是不确定,保险起见请用last name. 等来往较频繁的时可以用 first name,但如果是professor 等长辈不能用其first name 任何情况下一定加 不确定Mr.还是Ms. 时可以Google Image一下first name 不要用全名 如果是给公共邮箱发邮件,或不清楚reader 身份时,用Hello 就行。如 admissions@harvard.edu
Endings 邮件结尾
• End the message in a polite way. • Always thank the person for his/her time and consideration at the end of the e-mail. • Common endings are: Thank you, Sincerely, Thank you, Best regards, Thank you, Best wishes, Thank you, Regards,
