FOUR YEARS EXPERIENCE WITH A COURSE ON INTERDISCIPLINARY TEAMWORK IN MULTIMEDIA DESIGNSabine Kunst (Kunst@wtm.tudelft.nl),Charles van der Mast (c.a.p.g.vandermast@its.tudelft.nl),Bernard Sodoyer (b.r.sodoyer@its.tudelft.nl)Delft University of Technology, The NetherlandsThis paper is a continuation of a paper presented at the SEFI conference of 1997 in Cracow (Teaching multidisciplinary teamwork) [1]. At that time we presented our experiences with teaching interdisciplinary teamwork in multimedia design and our plans for a new educational design to achieve this goal. Now, two years later, more than 250 students of many technical studies enrolled in the course, we are able to present an effective educational design for teaching interdisciplinary teamwork. In this paper we specify the design and discuss the experience of the students.KEYWORDS: PROJECT-ORIENTED EDUCATION, INTERDISCIPLINARY TEAMS, MULTIMEDIA DESIGN, EXTERNAL COMPANIES, ICTINTRODUCTIONAn interesting challenge for educational technologists and teachers is: How to make education meaningful, effective and attractive? As our participating students are senior students at a technical university, we feel education should be closely related to reality and consequently have practical relevance for the students’ future careers. Therefore, the students are given a large responsibility for the success of the course.In the course ‘Multimedia’ a interdisciplinary team of students works on a real life assignment for an external company or organisation. In 14 weeks they will learn:•how to design and develop multimedia•how to organise a interdisciplinary project and how to carry it to a successful conclusion •to communicate with colleagues, clients, users and different types of expertsWith this course we try to prepare the students to their future role in society. As engineers they will participate in professional development teams using specific methods and techniquesto design and develop products for a specific group of users. Due to the demands of the consumer society, the role of the user and therefore the user interface requires more attention during the development process. Therefore it’s necessary to involve other disciplines, beside technical disciplines, into the team at the very early stage of the development process. This caused a broad discussion over the inevitable revision of design education in general [2]. Concerning collaboration between different disciplines communication is an essential factor. The importance of communication can be increased when the subject of the project itself concerns communication, like designing multimedia products.We assumed that designing and developing a multimedia product would be a good way to train technical students in collaboration with other disciplines [1].In the following section the educational design of the course is described in detail focussing on the prescribed design process and the aids to control this process. The different products the teams have to make during this project are described, as well as the elaboration of the concept ‘interdisciplinary’ in this course including the participation of the external companies as clients of the student teams. At the end of this section the use of Information and Communication Technology (ICT) in this course is summarised.In the next section the experiences of the students will be discussed. Finally in the last section conclusions will be presented.EDUCATIONAL DESIGNGeneral designIn the course ‘Multimedia’ teams of six students from different faculties work on real life assignments for an external company or organisation.The student workload of this course is 200 hours in the period September till December. Every week 2 hours are scheduled for either plenary sessions, like lectures by the teachers or by guest speakers (out of multimedia practice), or group meetings. Each of the three teachers has the role of tutor for three or four teams. During the group meetings the tutor and her/his teams come together to discuss the progress of the projects and problems encountered. For each team four hours a week are scheduled in the multimedia lab. The remaining 116 hours have to be spent outside the formal time schedule, for meetings of the team including the client, interviews, collecting information components, producing reports and prototypes, etc.The principle in this course is: learning by doing. The team is responsible for the progress of the project and the communication with the client. The work is supported by the course manual, exercises, group meetings (with other teams), (guest) lectures and by the tutor. In the multimedia lab the teams can get technical assistance on the available hardware and software.The processThe prescribed process the students pursue is according to the so-called ‘Waterfall approach’. This approach divides project development into distinct phases. Each phase has a clearly defined output. This output provides the input to the next phase. In modern multimedia practice the Waterfall approach is hardly used anymore, because this approach appeared to be too rigid. A dynamic approach, like iterative prototyping, is a more natural form of project development for multimedia systems. This approach supports an interleaved rather than alinear form of project development. Prototyping allows the team to visualise and evaluate system possibilities [4].The disadvantage of the Waterfall approach for experienced multimedia developers, i.e. the rigidity, can be seen as an advantage for educational purposes. In general the students in this course have no experience with multimedia development, so this highly structured approach offers them a useful guideline to all the necessary tasks, methods, techniques and tools.The first three phases of the approach have a prominent place in the course:1.Analysis (3 weeks)In this phase the team gathers information about the context of the problem of the client that has to be solved, the potential users of the multimedia product, the limiting conditions, the goals of the multimedia product, the available content materials, etc. The communication with the client is very important to agree upon the requirements for the multimedia product and to prepare the planning for the next phases. The team members also practice the available software- and hardware tools by prescribed exercises and by free work in the lab or at home.2.Design (4 weeks)In this phase the team makes a task analysis [3]. Based on this analysis several possible solutions (including a useful metaphor and interaction style) will be generated and prototyped. In consultation with the client the best solution will be chosen and worked out into a flow, scenario and storyboard (on paper). Meanwhile some members of the team start gathering and digitising content material.3.Implementation (7 weeks)In this phase the storyboard, as complete as possible, has to be realised using an authoring system. Texts (written and spoken), video, animations, graphics, pictures have to be integrated in an interactive structure. Formative evaluation with users and client is important in this phase. After the client’ s acceptance, the program has to be converted to a stand-alone version and written on CD-ROM, including an installation procedure and an attractive box.In each phase there are certain roles to distribute among the team members:•Organiser, who is responsible for the process within the team, including the client •Editor, who is responsible for the product and the content•Secretary, who is responsible for the minutes•Team member, the other members of the teamThese responsibilities change every phase. Everyone has to be either organiser or editor once. In order to control the process the teams work with quality plans. These quality plans are scenarios for each phase in which the distribution of the roles, the activities that have to be done, the organisation and distribution of tasks, the planning and the agreements about standards have to be described.At the end of each phase there is a moment of reflection supervised by the tutor in which questions have to be answered like Has the quality plan been useful and complete? What went wrong and why did it go wrong? What did we learn? How can we improve our team process? As mentioned before each team has a tutor. The tutor is monitoring the process with the help of the minutes of the team meetings, the products of each phase and the group meetings, where the processes of each team are discussed. When necessary the tutor provides some guidance.The productsA feature of the Waterfall approach is that each phase has a clearly defined output. This means that in every phase of the project the team produces one or more products. In the first phase a report of all the analyses will be produced. In the second phase the team produces a storyboard including flow, metaphor, scenario and some prototypes. In the implementation phase a CD-ROM with the final multimedia program will be produced.To allow students to develop the multimedia product a multimedia lab has been arranged with 12 multimedia PC’s in a 100 Mbit network with a fileserver that offers about 1 Gb for each team. Digital cameras, scanners, VCR-players, video capture systems and several editors and software tools (among others Director, Photoshop, Premiere, MS Office, Internet browser) are also available. ZIP-drives are available for exchange of data. Student-assistants who are familiar with the facilities are available for help.Interdisciplinary teamworkStudents of all the faculties of the university can join this course. This means that the following disciplines can be represented in a team: Technical Mathematics, Technical Informatics, Industrial Design Engineering, Aerospace Engineering, Applied Earth Sciences, Applied Physics, Architecture, Chemical Technology and Materials Science, Civil Engineering, Electrical Engineering, Geodetic Engineering, Mechanical Engineering, Marine Technology, and Systems Engineering, Policy Analysis & Management.The teachers, who also have a different background, make up the teams after the first plenary session, where students indicate their discipline, which days during the week they are available for this course and their first choice project. The two main criteria to form a team are the interdisciplinary composition and the availability of one common day in the roster for all the team members to meet and collaborate.One important task of the preparation of the course is to bring in new clients. Each year the teachers try to find interesting organisations or companies in the neighbourhood of Delft that want to play a role in this course. A procedure has been developed to guarantee as much as possible the appropriateness of a client for this course. It concerns the kind of project and the available time and enthusiasm of the client. Some examples of clients from the past years are: the Netherlands Dance Theatre (see figures 1 and 2), a technical museum, highschool colleges, consultancy companies, engineering companies, a national sport association, a bank, some other faculties of our university, our central library. Most subjects were focussed on instruction, advice and marketing. All teams over all years succeeded in delivering an accepted product to the client. Most products were finally considered as fine prototypes. Some prototypes have been finished afterwards, under contract by some students of the team, to get a final product for the client.The use of Information and Communication TechnologyThe project-oriented approach of this course combined with the fact, that students from different faculties and therefore with different timetables join this course, implies the need of Information an Communication Technology for internal communication. Last years all students from our university had an email address and facilities at the campus and most students also at home outside the campus. All students use email within and sometimesbetween teams intensively. They have to send minutes of all their meetings - at least once a week - to their tutor very soon after the meeting takes place. The tutor plays an active role as a mediator and counsellor via email. He/she also keeps hardcopies of all messages ordered by team, together with the larger documents quality plans, analysis reports and storyboards. The website is important. It contains some organisational parts of the coursebook. Many actual organisational details about the teams, time tables of the multimedia lab, sheets presented during lectures by professional speakers are provided at the website. Also a news bulletin is maintained. The students are stimulated to read the news almost every day and to send tricks and hints about the usage of the tools in the lab via email to the webmaster. The use of the Internet is essential to organise the course as it is today.EVALUATION RESULTSAfter the course all the students filled in a comprehensive questionnaire individually. From the last course (January 1999) the following results are reported:•They say that this course has an added value for their own curriculum (64%)•They think that cooperating with students from other disciplines offers an added value (60%)•They report that the objectives are met: multimedia development 72%, organising a interdisciplinary project 80%, communication with colleagues, clients and experts 88%•They think that email is very necessary for this form of education (84%)•They think that the web page is necessary (40%)•They say that the cooperation with the client was good (31%) and not good (29%)The results from the answers to the questionnaires are positive: the students work hard and enthusiastic although they had logistical problems as the semester schedules for the faculties at Delft are different; they report that the objectives of the course are met quite good. The teachers know that it is difficult to find clients which have clear requirements in mind and have also sufficient time for communication with the team. The fact that we provide real external clients for the teams includes that the way of working they require is mostly less structured and very hectic for the students. In the future we will instruct the clients better about what they may expect from the students and the time schedule of the course. Another serious problem is to provide sufficient assistance and expertise on the tools Director, Photoshop and Premiere. As it takes several months of full time professional experience with each tool to become even a moderate expert, the students will always be somewhat disappointed at this point. This time is not available in such a course.CONCLUSIONSThis course was followed by more than 250 students over 4 years. According to all participants the objectives are met quite well. With a course like this the education of technical students is improved by teaching user-centred design and social skills by communication with colleagues from other disciplines. An essential advantage is that no specific domain else than communication has to be known by the students from distinct faculties. Therefore, teaching multimedia design seems to be a good vehicle to be applied at a larger scale. And this very topic is recognised as important objective in modern engineering education.At least one big problem is left: to provide sufficient expertise on the tools (Director,Photoshop and Premiere). The biggest challenge the authors feel now is to provide a means for the students to learn from each other during the course with respect to tools andtechniques. We will try to achieve this by providing via Internet shared workspaces and adynamic knowledge management environment which is being under development at Delft [5].REFERENCES1.
