3.3 Guidelines for replying Enquiries
The replying letters should be answered fully, promptly and courteously. Thank the writer of the enquiry for the letter in question Supply all the information requested and don‟t forget to “sell”your products. Provide additional information, not specifically requested by the customer, so long as it is relevant. In case the required goods are not available, explain the situation and introduce some other substitutes. Conclude with one or two lines encouraging the customer to place orders and assuring him or her of good service.
