时至今日,在公务交往中,信函依旧是职员所常用的有效而又实用的交流方式之一。
在一般情况下,单位及其职员在正式的公务交往中所使用的信函亦称公务信函。
相对于普通书信,由于公务信函使用于正式场合,在礼仪方面通常有着更为标准而规范的要求。
总体而言,公司职员在使用公务信函时,应注意言辞礼貌、表达清晰、内容完整、格式正确、行文简洁等五大要点。
因为在英文里,礼貌(courteous)、清晰(clear)、完整(complete)、正确(correct)、简洁(concise)等五个单词皆以字母c 打头,故此这五大要点亦称做公务信函写作的五c法则。
具体来讲,使用公务信函时,主要应当在写作信函、应用信函等方面全面地运用礼仪规范,此外,写作电子信函也要注意遵守其礼仪规范。
一、写作信函写作公务信函时,一定要对信函的内容与格式斟酌再三。
以下五个具体问题,尤须认真对待。
1.抬头一般的公务信函均由抬头、正文、结尾三部分构成。
作为一封公务信函的开端,抬头决非可有可无,而是应当认真推敲。
抬头的基本内容包括称谓语与提称语,二者均应根据具体对象具体对待,力求恰如其分。
一是称谓语准确。
在写作信函抬头时,应以称谓语称呼收信之人。
在称呼收信者时,下列四点必须注意:其一,姓名与头衔必须正确无误。
在任何公务信函中,写错收信者的姓名与头衔都是绝不允许的。
称呼收信者,有时可以只称其姓,略去其名,但不宜直呼其名或者无姓无名。
其二,允许以直接致信的有关单位或部门作为抬头中的称谓语。
在许多时候,以有关单位或部门直接作为收信者在礼仪上是许可的。
其三,可以使用中性名词称呼收信者。
当不清楚收信者的性别时,以董事长、经理、主任、首席代表等毋须辨别性别的中性称呼去称呼对方是比较稳妥的。
其四,切忌滥用称呼。
初次致信他人时,千万不要滥用称呼。
诸如先生、小姐一类的称呼,在不清楚收信者性别时就不宜采用。

信件的格式范文
1.一般书信的格式内容有哪些一般书信包括称呼、正文、结尾、署名和日期以及信封五个部分。
第一部分,称呼。
是对于收信人的称呼。
A。
—般说,平时怎样称呼对方,信的开头就如何称呼,如“xx同志”、“ xx好友”、“x同学”。
对亲属、亲戚,特别是直系亲属中的长辈一般不写名字只写称呼,如“爸爸”、“妈妈”。
如给集体单位写信,可以写单位名称或单位的全体成员。
B。
称呼要顶格写在第一行,表示对收信人的尊敬。
称呼后面加上冒号,表示后面有话要告诉收信人。
第二部分,主文。
这是一封信的主要部分,要向对方叙述、询问的事情都写在这里。
如果事情比较多,可以分成若干段落,每段写一件事情;写完一件事,再写第二件事。
写正文一般应注意两点。
A。
正文开头一般向对方问候。
对一般亲友、同志,可写“你好!”、“你们好!”,对长辈领导要写“您好!”、“你们好!”。
问候的话后面要加感叹号,以示郑重、强调。
B。
正文要从第二行空两个格写起,以下如果分段,每段开始都要空两格。
写信的口气应根据不同对象,注意有所区别。

结尾是写完正文之后的结束语,多半表示祝贺、敬意和勉励。
这部分应因人选取适当的词语。
如对同志和朋友,一般写上“祝你身体健康!”、“祝你进步!”、“此致敬礼!”。
前两种,一般作为一个独立段,写在正文之后空两格处。
后一写法是:“此致”写在正文结束的下行空两格。
“敬礼!”写在下一行的顶格处。
第四部分,署名和日期。
署名,即写上自己的名字,也可以在名字前面写上同收信人的关系,如“你的学生xxx”。
署名应写在正文下倒数第三行的右方。

4、Difference英语上地址为从小到大:门牌,街道,城市,州或省,国家;而中一般没有信端和信内地址。
若要告诉对方写信人的地址的话,一般附在信的正文后,或在信笺底部注上。
次序为由大至小:国家,州或省,城市,街道,门牌。
英语日期通常写在信右上角,次序一般为月、日、年,或日、月、年;而中国人习惯把日期写在信结尾处署名的下端,次序为年、月、日。
