If there is no stock available for the time being, you should acknowledge the inquiry at once, explaining the situation and assuring that you will reply to it once a supply becomes available. If the inquiry is from an old customer, express how much you appreciate it. If it is from a new customer, say you are glad to receive it and express the hope of a future business relationship. In a word, the reply to an inquiry should be prompt and courteous and cover all the information asked for.

1. An Inquiry and Reply (1) An inquiry is a request for information on goods. When business people intend to import a product, they send out an inquiry to an exporter. It may ask for a quotation or an offer for the goods they wish to buy or simply request for some general information regarding these goods. An inquiry can be made by written correspondence, such as a letter, telegram, telex, fax, e-mail or verbally by talk in person. Inquiries from regular customers may be very simple in content, in which only the name and/or specifications of the commodity will be mentioned. Other inquiries may include great details such as the name of the commodity, quality, specifications, quantity, terms of price, terms of payment, time of shipment, packing method, etc. required by the buyer so as to enable the seller to make proper offers.

如果是回答多个问题,要用项目符号将其一一分开。
如果来函中有项目符号,则要一一对应。
2.答复是否定或部分否定的,均采用曲折迂回法。
可以用肯定的部分做缓冲垫。

If you have received an L/C which is not in conformity with the terms stipulated in the contract, you can ask for amendment or extension. To compose a letter of amendment to or extension of an L/C, the following contents should be included:1. Informing the receipt of the L/C; 告知对方收到信用证。
2. The discrepancies of the L/C and your clear instruction about how to amend theL/C. 信用证的不符点以及你的改证要求。
3. Your wish. 你的愿望。
三、Writing Guide 写作步骤To compose a letter of urging the establishment of an L/C, you can follow the following steps:Step 1. Referring to the relative contract or order.提及相关订单或合同。
Step2. Inform the buyer that the goods have been ready, but you haven’t received the relative L/C.告知货物已备妥待运,但尚未收到信用证Step3. Pointing out the result of delay in establishing the relative L/C.指出信用证延误的后果。
Step 4. Expressing your wish of receiving the L/C at an early date.期盼早日开证To compose a letter of amendment to or extension of an L/C, you can follow the following steps:Step 1. Informing the receipt of the L/C. 告知收到信用证;Step2. Pointing out all the discrepancies and give your clear instruction about how to amend the L/C. 指出信用证的所以不符点并清楚地提出改证要求。
Step3. Expressing your wish of receiving the amendment at an early date. 表达希望尽早收到修改书的愿望。

Urging establishment of an letter of credit1.Much to our regret, we have not yet received your letter of credit against our Sales Confirmation No. 3246, although it should have reached us by the end of March as stipulated.2. According to the stipulations in our Sales Confirmation No. 688, you should sendus your letter of credit one month before the date of shipment.3. According to the stipulation of S/C No. 2212, you should establish the covering L/Cbefore April 20.4. You must expedite the covering L/C, otherwise we shall be unable to effect shipmentbefore the end of this month.5. The 800 bicycles under Contract 268 have been ready for shipment for quite some time,but we have not yet received your covering L/C. Please open the L/C as soon as possible so that we may effect shipment.6. If you do not establish the L/C in time, you will be responsible for the loss resulting fromthe delay.Ⅱ. Making amendment to L/C1. We have received your L/C No.555, but find that it contains the following discrepancies.2. Please amend L/C No. 526 allowing transshipment and partial shipment, so that wemay effect shipment without delay.3.We thank you for your L/C No. 222, but on checking it we find with regret that your L/Ccalls for shipment in October 2011, whereas our contract stipulates for Novembershipment.4. As the soybean under Contract No. 008 cannot be delivered in exact quantity, please insert the wording:“5% more or less for both quantity and amount allowed”in your L/C.5. Please amend L/C No.4776 as follows:⑴Amount is to be increased by USD506.00.⑵The words “12 dozen per carton” are to be replaced by“20 dozen per carton”.6. Please amend L/C No.2356 as follows:⑴“ metric ton”, as was contracted, instead of“long ton”.⑵extend shipment date to the end of September and allow partial shipment.7. The discrepancies are as follows:⑴Commission should be 3%, not 5%.⑵Shipment is to be made during June/July instead of “on or before 30 Jun e”.⑶Goods should be insured for 110% of the invoice value, not 150%.8. Please amend your L/C No. 456 as follows:⑴Insert the word “about” between “quality” and “100M/T”;⑵Delete Items 1,3,5,7 and replace them by those stipulated in our S/C No.123.⑶Increase the unit price from $78 to $ 87 and total amount to $ 1, 234, 500.⑷Delete the clause “Bankers’ expenses for beneficiary’s account”.Ⅲ. Asking for extension of L/C1. The 100 pieces of motors are scheduled to be loaded onto S. S. Flying Cloud on April 12. Please extend your L/C till the end of April.2. The amendment advice should reach us by December 8, otherwise you must extendthe validity of the L/C to the end of the year.3. As there is no direct steamer available this month, we should like to request you to extend the validity of your L/C No.2526 till July 31.4.
