Unit 7 Shipment and PackingI. IntroductionShipmentShipping is very important in foreign trade because goods sold by seller have to be transported to the buyer abroad, and the delivery of goods is also made possible by shipping (or transport) services. The business of foreign trade shipping is complicated.As basically, some 98% of world trade is conveyed by sea transportation, exporters and importers are more concerned with transport by sea than in other ways. Transport by air is, however, increasing in some scope and is the best method for certain types of export and import and under emergency or urgent circumstances, though its limitations are obvious.The new type of transport of goods by rail and then steamer had the effect of greatly encouraging the use of the “container”. Railway containers of various types are available for shipment by steamer services too, and transport in containers is sometimes a "door-to-door" service.When buyer and seller discuss the terms of the contract, terms of shipment are compulsory .Terms of shipment include methods of transport, time for shipment, partial shipment and transshipment, port or place of loading and unloading, shipping documents, etc.Generally, there are several kinds of letter about shipment, When writing a letter about choosing shipment, the following points should be covered in such letters：1. Letter of extending shipping date1）Reference documents including their number and date;2）The reason for extending shipping date;3）The certain shipping date you want extend to;4）Thanks for their cooperation;2. Shipping Instructions1）Reference documents including their number and date;2）The main content of instruction;3）Thanks for their cooperation;3. Urging for Shipment1）Reference documents including their number and date;2）Ask they attention about the time limit and the consequence of delay ;3）Requirement for the shipment in time;4）Thanks for their cooperation;Shipping AdviceUnder FOB terms , the seller shall ,within a reasonable period of time , send to the buyer by fax/email a “XX days (definite) notice of cargo readiness” in order to leave ample time for the latter to charter a ship or book shipping space and arrange insurance.If there is no direct sailing from the loading port to the destination, transshipment would be necessary. Usually, the seller should first get consent from the buyer (who would like to select a port in his favor) that the contractual goods should be sent to the port of destination with transshipment. Then, the wording “transshipment is allowed” should be written down in the L/C as well as in the contract.Provided that the nature of the goods permits and that appropriate stipulations have been laid down in the contract or L/C, the seller may choose to make several partial shipments of a given lot of contracted goods at different times.After making shipment, the seller should, no matter on what trade terms the transaction isconcluded , promptly advise the buyer of its completeness in order to help the latter to take out insurance . Such a notice is called Shipping Advice. It should include:1) Contract and /or L/C number(s);2) Name of commodity;3) Number of packages;4) Total quantity shipped;5) Name of the vessel;6) Sailing date of the vessel (ETD , ETA);7) Total value of the shipment;8) Gross weight and net weight.Shipping Advice is often sent by air letter, fax or email. If there is a stipulation regarding the matter in the relevant L/C, the seller should by no means neglect it. He must fulfill his obligations by sending the Shipping Advice in strict accordance with the stipulation, which is used as a negotiating document to be delivered to the bank.PackingPacking is of great importance in foreign trade. It may be appropriately said that packing is to goods means what clothing is to man.The ultimate purpose of packing is to keep the transported goods in perfect condition with nothing missing on arrival. Good packing must be able to stand the roughest transportation. Packing can be divided into transport packing (usually known as outer packing) and sales packing (usually known as inner packing). Transport packing is done mainly to keep the goods safe and sound during transportation. It must not only be solid enough to prevent the packed goods from any damage, but also be pilferage-proof, easy to store, convenient to load and unload. Sales packing is done mainly to push sales. It is now universally recognized as a decisive aid in selling household consumer goods. It can be realized in various forms and with different materials as long as it is nice to look at, easy to handle and helpful to the sales. Still, there is another category of packing, called “neutral packing”. This kind of packing carries no mark of the name of the origin country of the packed goods and no sign of the original trademark, with the view to elud e the tariff of the import country or satisfy the buyer’s special requirements. Packing must be strikingly marked. Conventionally, outer packing marks mainly include transport marks, directive marks and warning marks. Transport marks consist of:1) Consi gnor’s or consignee’s code name;2) Number of the contract or the L/C;3) The port of destination;4) Numbers of the packed goods;and sometimes weight and dimensions, all of which can greatly facilitate identification and transportation. e.g.STC4USE NO HOOKSTHIS SIDE UPHANDLE WITH CAREKEEP DRYDO NOT DROPNEW YORK5278Directive marks are eye-catching figures and concise instructions concerning manner of proper handling, storing, loading and unloading of the packed goods.Warning marks are obvious symbols or words to warn people against the hidden danger of inflammables, explosives and poisonous products. e.g.DANGEROUS GOODSKEEP AW AY FROM HEATACID WITH CAREINFLAMMABLEEXPLOSIVERequirements for inner packing are increasingly high, with beautiful colour, creative design and convenient handling as its chief concern. The primary motive for inner packing is to promote the sales of the particular goods.Details such as manner of packing, kinds of packing materials and the burden of packing cost should be unmistakably stipulated in the contract concerned and strictly observed by both the selling side and the buying side. Poor or inappropriate packing may cause failures in international transactions, and may even result in unexpected and unpleasant disputes between the seller and the buyer, which can be solved only through negotiation or arbitration. However, this will surely induce certain losses to both sides. Wholly speaking, the seller should bear in mind that safe, reliable and convenient outer packing and creative, elegant and attractive inner packing are what he must strive for.Generally, Letters about packing issues should be concise and clear. In such letters, the seller can describe in detail to the buyer his customary packing of the goods concerned and also indicate clearly that he may accept any required packing at the expense of the buyer. The letter about packing will include following points:（1）The relevant documents including their No. and date;（2）The description of packing conditions of relevant goods;（3）To ensure the packing condition will satisfy the buyer.II. Useful Sentences1. Shipment1) We would like to ask you if you could extend the shipping date and the validity in the credit for two weeks respectively.2) We would rather shipthe goods by direct shipthan transshipthem via Singapore.3) Will you please inform us of the date of shipment and quantities you can supply form the stock.4) We have pleasure in informing you that the shipment of 2,000tons Chemical Fertilizer will be effected by the S.S. “Dong Feng” which, scheduled to leave here on 13 th ,March.5) We hereby inform you that the goods under the above mentioned credit have been shipped. In order to identify the packages easily at the port of destination, the outer packing must be clearly marked with the identifying symbols and numbers in accordance with the instructions of the customer. We have three categories like shipping mark, indicative mark and warning mark.
