外贸行业有效函电沟通
外贸函电是国际贸易领域人们借以沟通的书面工作语言,由于函电比口头沟通形式严谨和清晰,一直以来是国际贸易中惯用的主要沟通形式。

近年来,随着我国与世界各国贸易活动日渐频繁和复杂,外经贸人才应具备通过书写信函实现有效沟通的能力已成为迫切需要。

因此,许多外贸企业将“能够熟练使用外文,流畅和准确的和外商沟通”作为考查职员和招聘新人的标准之一。

然而,外贸从业人员中有相当一部分并非能胜任有效信函沟通工作。

有的外文语言基础薄弱,有的忽略了外贸函电是以外贸知识为背景、兼具形式多样、涉外特征和法律特性,结果导致职员外贸知识片面,业务能力不强,欠缺跨文化交际能力和法律观念,这些问题都迫切需要解决。

一、外贸函电特征
(一)以外贸语言为载体。

外贸函电是以外贸语言为载体在国际贸易活动中传递信息。

外贸活动中涉及到的语言,具有鲜明的特点,其风格简约、礼貌、完整并且正式,使用词汇要求专业、精确。

(二)以外贸知识为背景。

外贸函电是国际贸易业务中的一种实用语言,与外贸实务紧密联系,围绕外贸的整个流程,即建立贸易关系、询盘、报盘、还盘、下单、订合同、安排装运、支付货款、投保、抱怨或索赔、理赔或仲裁展开。

它要求从业人员在掌握外贸实务知识的基础上,运用文字表现其在各个业务环节中的观点。

(三)形式多样。

由于外贸函电涉及到外贸工作的各个环节,因此可以依据其作用、内容等分为若干种类。

灵活掌握函电各种类型对外贸人员提出挑战。

此外,函电的运输方式,除了传统的邮政邮寄外,还有现代化的快递、电报、电传、电子邮件以及国际互联网在线及时沟通等。

作为贸易双方沟通的工具之一,外贸函电在外贸业务中具有一定法律效力,同时受相关法律约束。

函电内容应遵守我国法律和不同贸易伙伴国的经贸制度;函电使用的术语应符合国际习惯和法规,如《国际贸易术语解释通
则》等。

二、如何写作有效的外贸函电
(一)强化语言知识。

外贸人员应掌握行业使用频率较高的经贸术语,并且尽可能的扩大经贸词汇量和掌握其样式、表达方式、特殊用语、缩略语和写作技巧等。

此外,外贸人员应注重提高对外贸函电的综合运用能力,包括对函电的阅读、写作和翻译能力;能正确理解各主要业务环节中往来函电的意义和内容,能审核信用证和提单等;能够填制合同,草拟各主要业务环节中的往来函电;能够翻译外贸信函,实现译文正确、语言通顺流畅。

从商务函电的具体使用功能来讲,又可分为:来函处理答复函、订货函、任命函、祝贺函、感谢函、介绍函、邀请函、联络函、致歉函、慰问函、唁函、推销函。

从具体业务环节来讲,可以分为:为建立业务关系、询价、报盘、还盘、订货、接受、签约、包装、装运、支付、结算、保险、商检、索赔、代理、抱怨与调停等而写作的函电。

对各个种类信函能够运用自如,能够促进外贸领域中的商务沟通。

(四)运用现代化技术。

随着信息时代的到来,传统的邮政信函被现代化的方式所取代。

加上Internet的普及,EDI贸易的迅速崛起,函电沟通方式发生了重大变革。

现代业务员,除了能够使用传统手段邮递书信外,还应掌握电传、电子邮件等方式与外商沟通。

另外,国际互联网使贸易双方文字形式的及时沟通成为可能,这种便利工具有利于提高经济效益,增强企业的市场竞争能力。

如今,外贸业务管理软件逐步被应用于外贸业务,能够大幅提高工作效率:通过众多的函电模板及分类机制加强了对外贸函电的处理力度,提高了函电处理速度,同时集中、系统性管理函电资料;制作单证时,只要录入一套公共信息,全部单据自动生成,确保单单一致等。

因此,外贸人员学会利用现代手段,能够帮助实现外贸公司业务管理的方便、快捷、有效、规范。

(五)掌握外贸函电的写作原则。

外贸人员写作函电时,必须以基本写作原则为宏观指导:完整、正确、清楚、简洁、具体、礼貌和体谅。

具体说,“完整”意味着函电应完整表达所要表达内容和意思,如何人、何时、何地、何事、何种
原因、何种方式等。

“正确”表示表达的用词用语及标点符号应正确无误,如果出错势必会造成沟通不利。

“清楚”指所有的词句都应能够非常清晰明确地表现真实意图,避免双重意义的表示或者模棱两可。

“简洁”的含义是在完整和礼貌的前提下,用最少的文字清楚表达真实的意思。

“具体”指的是内容要明确而且具体,避免泛泛而谈。

“礼貌”原则指语气友好,客气而且得体。

“体谅”表示考虑对方的处境、困难和反应,以对方的观点来看问题,为对方着想,尽量根据对方的思维方式来表达自己的意愿,这样,对方才容易接受本方的建议等。

(六)公司开展培训工作。

外贸公司可以制定培训计划,按预定计划有组织、有目的地进行函电写作训练。

假设业务情节,安排职员担任贸易各方的角色,从各自角度利用函电发表观点。

这种方式可以使职员身临其境,获取语言感觉,掌握函电实际应用技巧,增强学以致用的兴趣;可以邀请有经验的外贸业务人员做讲座,强调外贸函电在国际贸易实际业务中的巨大作用,给职员提出学习建议和纠正错误等;公司实行奖惩制度,鼓励职员自觉自愿的开展函电写作训练。
