Acceptance or rejection of abstracts(2)
• As a further criterion for the acceptance of an abstract and, by extension, of its presentation, oral or poster, the degree to which it is suitable for inclusion in the published proceedings has to be taken into consideration, since many more presentations were submitted than it was possible to include in the Proceedings. • The acceptance of abstracts will be based on their scientific and technical quality and clarity of writing.
What should be included in the letter? (2)
• The following information should be reminded of in the body of the notice or letter: • Name of the conference; time and venue (example 1) • Title of the author’s paper (example 2) • Reviewing process (example 3) • Number of accepted abstracts or papers (example 4) • Transfer of copyright (example 5)

• The review process for (conference name) has been a delicate and challenging task for the Program Committee. Each paper was carefully evaluated by at least three referees. The work was very difficult because of the large number of high quality papers which were received and the relatively small number which could be accepted. There were papers submitted and only time slots available for presentations.

• Authors will be informed as quickly as possible - probably about a month before the conference - if their submission has been accepted and whether it may be presented orally or as a poster. The time available for oral presentations will be fixed by the relevant session convener in conjunction with (the ISC). Details regarding the size of posters will be announced later.

• Contributors are therefore strongly advised to submit their complete text together with the abstract well before the final delivery date. Should an excessive number of abstracts be received for a particular session, those contributions will be preferred for which the complete text is already to hand, provided that it is considered worthy of publication.

Number of accepted abstracts or papers
• The purpose of telling the author the number of accepted papers is to suggest that they strictly observe the instructions given by the committee.

We received 153 full paper submissions and 41 short paper submissions. Of these, 21 were accepted as full papers, and 15 were accepted as short papers, so you should take this as validation of your research efforts.
What should be included in the letter? (1)
• Expressing thanks to the writer; • Expressing acceptance of the abstract or paper; • Expressing good wishes for expecting him to attend the conference; • Informing the abstract writer of the time, length, and location of his presentation; • Asking the writer if they need to change the speaker name or cancel the presentation in the scheduled presentation.

Why is a letter of acceptance written?
• To extend best wishes or regards to the writer. • To inform the writer that his abstract or paper has been accepted by the conference committee and he is expected to attend the conference if possible.

• In your call for paper, you should include the following information so that you can have good reasons for the acceptance or rejection: • The abstract should contain all necessary information. Texts which merely give a general description of the subject cannot be accepted. Abstracts which considerably exceed the length prescribed above can equally be rejected. The acceptance or rejection of an abstract, and similarly of a presentation, whether oral or poster, will be the decision of relevant convener or reviewer.
