1.1.2 Other Parts of a Business Letter
Besides the above parts, an English letter may include some other parts if necessary. Reference number or code is used as a useful indication for filing and marked with “Our Ref:” and “Your Ref:” Attention line is used when the letter is addressed direct to a particular person of a company and marked with “For the attention of (name or title)” or “Attention”. Identification marks comprise capital initials of the writer and small letter initials of the typist as JS / ms or JS: ms, indicating their own responsibilities. The word “Enclosure” or its short form “Encl.” is used when enclosures are sent with the letter. The abbreviation of carbon copy notation “cc”, “Cc” or CC” is typed if a copy is to be sent to a party or parties concerned.
5. The subject line (Caption) gives the general content or purpose of the letter. It comes two lines below the salutation and above the body of the letter, generally preceded by “Re:” or “Subj.”. 6. Body of the letter contains the message of the letter. It extends the writer’s idea and what he expects form the recipient of the letter, and should be carefully planned. The “three C’s” qualities mentioned above shall be achieved.
7. Complimentary close is polite ending of the letter, placed two lines spaces below the body of the letter. It is in line with the salutation and the commonly used closings are “Yours faithfully/sincerely/truly” and “Faithfully/Sincerely/Truly yours”.
3. Inside name and address refers to the name and address of the receiver and should be typed two or four lines spaces below the date and above the salutation at the left margin. It usually consists of the receiver’s name, detailed address such as house or building No., the street, the city, the state, the postcode and the country. This part exactly appears on the envelope but cannot be omitted as the letter will be filed later for the completeness of the documents. 4. Salutation is merely a matter of custom and a polite greeting. It is typed at the left margin, two or three lines spaces below the inside name and address. The salutation depends on the writer’s relationship with the receiver. The customary ones can be “Dear Sir(s)”, “Dear Madam”, and “Dear Mesdames”, followed by a comma.

An English business letter generally consists of eight main parts: 1. The heading is printed in the top center or at the top left margin of a letter, containing all the necessary information of the writer’s name, address, postcode, telephone number, telex number, fax number and email address. 2. The date should be typed all in one line and below the heading. Because of the different usage in the U.S.A and in England, the month should be spelt out in full without using figures or abbreviations for it. For example, 7,10,2007 means July 10, 2007 in the U.S.A and October 7, 2007 in England.
8. Signature is immediately below the complimentary close by typing the company’s name of the writer, followed by the writer’s handwritten signature, his/her typed name for legibility, and the writer’s job title or position.
